Overview
We're looking for someone who loves organisation, accuracy and making things run smoothly. As our Purchasing Administrator, you'll play a vital role in ensuring our products are available when our customers need them, our systems remain accurate, and our suppliers continue to deliver the high standards Swiftpak is known for.

Initially, your focus will be on supporting our supply chain, working closely with UK and international suppliers, maintaining accurate purchasing and product information, and helping us achieve industry-leading customer service through excellent stock availability and inventory control.

As you become established in the role, you'll also take ownership of key compliance and quality administration activities, helping maintain our ISO accreditations, supplier documentation and operational procedures.

Core Responsibilities

Supply Chain Administration

Raise and manage purchase orders with UK and overseas suppliers.
Monitor supplier acknowledgements and delivery schedules.
Proactively chase outstanding orders and resolve supply issues.
Build positive relationships with suppliers and freight partners.
Support purchasing decisions through accurate stock information.
Help maintain excellent product availability whilst optimising stock investment.
Assist with stock forecasting and replenishment planning.
Take ownership of machine services including the booking of services and logging these in the system
Perform regular index tracking to ensure we are paying market rate

Inventory Management

Maintain accurate inventory records within the ERP system.
Monitor stock levels against agreed replenishment parameters.
Investigate stock discrepancies and support regular stock takes
Help improve stock turn whilst maintaining excellent OTIF performance.
Identify slow-moving or obsolete stock and support stock reduction initiatives.

Product & System Data

Maintain accurate product master data.
Update supplier pricing, lead times and product specifications.
Creating product codes and ensuring dimensions, weights, pack quantities and technical information are current.
Maintain product and supplier documentation and digital records.
Continually improve data accuracy and system integrity

Compliance & Quality (Development Opportunity)

As your knowledge grows, you'll become responsible for supporting:

ISO Quality Management Systems.
Supplier approval documentation.
Product compliance records and certifications.
Internal and external audit preparation.
Sustainability and environmental documentation.
Controlled documents and operational procedures.
Continuous improvement initiatives across Operations.

Essential Skills & Experience

Previous experience in an administration, purchasing, supply chain or operations role.
Exceptional attention to detail.
Excellent organisational and time management skills.
Strong Microsoft Office skills, particularly Excel.
Confident communicator, both written and verbal.
Comfortable working with suppliers and internal stakeholders.
Able to manage multiple priorities simultaneously.
Strong numerical and analytical ability.
A proactive approach to problem solving.

Desirable Experience

ERP or stock management systems.
Purchasing or inventory planning.
Import/export or international supplier experience.
Manufacturing or distribution environment.
Product compliance or document control.
Packaging industry knowledge.

Pay: £28,000.00-£33,000.00 per year
