Full job description

Passion Tree Care Services (PTCS) is a domiciliary care agency committed to providing safe, compassionate and person-centred care to people in their own homes.We are looking for an organised and detail-focused Quality Assurance Administrator to work alongside our Care Quality Manager. You will help maintain our quality systems, coordinate audits, monitor improvement actions and ensure that our compliance evidence is accurate, current and easy to retrieve.This is an excellent opportunity for an experienced administrator who would like to develop a career in quality assurance within health and social care.

The role

As Quality Assurance Administrator, you will provide day-to-day administrative support for PTCS’s quality, governance and compliance activities. You will gather and check evidence, maintain quality records, coordinate routine audits and follow up agreed actions. The Care Quality Manager will retain responsibility for formal investigations, regulatory decisions and overall quality management.Key responsibilities

Maintain the quality calendar, audit schedule, compliance trackers and improvement-action plans.
Monitor deadlines and follow up overdue or incomplete actions with the appropriate team members.
Carry out or coordinate routine checks of care records, visit records, daily notes, consent documentation, risk-assessment review dates and staff files.
Support medication-record audits by collating MAR documentation and identifying missing or incomplete records.
Record audit findings accurately and prepare summaries for the Care Quality Manager.
Maintain controlled versions of policies, procedures, forms and templates.
Keep accurate logs of complaints, concerns, compliments, incidents, accidents, near misses and safeguarding matters.
Monitor complaint and investigation deadlines and send reminders to the responsible manager.
Coordinate service-user, family and staff surveys and summarise the feedback received.
Identify recurring themes, documentation gaps and areas requiring management attention.
Arrange quality and governance meetings, prepare agendas and reports, take minutes and maintain action logs.
Help prepare evidence for CQC assessments, commissioner monitoring visits and internal quality reviews.
Maintain an organised and inspection-ready quality evidence system.
Handle confidential and sensitive information securely and in accordance with PTCS policies and data-protection requirements.
Escalate safeguarding concerns, serious incidents, suspected falsification, data breaches and immediate safety risks without delay.

About you

You will be methodical, dependable and confident working with detailed records and competing deadlines. You will be comfortable following up actions with colleagues and escalating concerns appropriately.Essential requirements

Strong administrative and organisational skills.
Excellent attention to detail and accurate record keeping.
Confident using Microsoft Word, Excel, Outlook and shared electronic filing systems.
Ability to maintain spreadsheets, trackers and document-control systems.
Clear written and verbal communication skills.
Ability to review information, identify gaps and prepare straightforward summaries.
Understanding of confidentiality and secure information handling.
Ability to work independently while recognising when an issue must be escalated.
Commitment to dignity, safeguarding, equality and person-centred care.

Desirable requirements

Previous experience in domiciliary care, adult social care, healthcare or another regulated service.
Experience with audits, quality systems, complaints, incidents or compliance records.
Understanding of CQC requirements and Regulation 17: Good Governance.
Familiarity with care plans, risk assessments, daily notes, MAR charts or staff-compliance files.
Level 2 or Level 3 qualification in business administration, health and social care, quality assurance or a related subject.
Full driving licence and access to transport if visits to operational locations or service users’ homes are required.
