Location: Palestra ( Southwark - London) /Hybrid

Hybrid working within this role enables a balance of 50 per cent of time split between the office and home over a 4-week period. Hybrid working arrangements can evolve subject to business requirements.

Job Purpose

The Assistant Executive Manager will play a crucial role in providing support for the wider Executive Support Office for the Chief People Office (CPO), directorate or office across the key areas of: Administration, Governance, Advisory. and non-operational Resourcing. This role will form part of a team responsible for ensuring the respective directorate or office is able to achieve its objectives and manage wider business priorities.

This role will work closely with the Executive Manager in supporting with the day to day management and administration of the Executive Office for CPO.

Key accountabilities

Providing support on administration, advisory, governance and all Executive Support matters for CPO, working with other Executive Office role holders to deliver activities in a timely and effective manner
Responsible for supporting the Governance process in CPO, ensuring that relevant stakeholders are informed of critical governance deadlines and they have clear guidance on governance papers to support efficient decision making
Responsible for supporting in the management and delivery of internal administrative processes within the CPO directorate This includes supporting the Headcount Controls process.
Responsible for the ownership and improvement of processes for effective handling of work, internally and across directorate areas, ensuring compliance with management system rules
Responsible for coordinating engagement with business partners/specialist teams and commissioning support services across different business areas in TfL
Accountable for providing support to the office in facilitating engagement and communication with internal and external stakeholders on matters impacting governance and decision making
Accountable for preparing governance packs for senior meetings to support effective decision making
Accountable for the efficient co-ordination and maintaining of information, documents and records for the respective directorate or office
Accountable for supporting the wider directorate in the administration and engagement of internal Safety Health and Environment (SHE) obligations for the area
Accountable for supporting activities which contribute to the success of TfL’s internal governance processes, this includes collating information and managing the submission process of papers for Boards, Panels and Committees

Skills, Knowledge and Experience

Knowledge

Knowledge of coordinating the Governance process for a complex organization

Knowledge of Microsoft Office applications and especially powerpoint, sharepoint, word and excel
Awareness of the scope and purpose of an Executive Support Office
Good knowledge of resourcing processes and especially managing Headcount controls
Awareness of internal & external communication methods
Awareness of TfLs political relationships with key internal & external stakeholders
Knowledge of how to support strategic business management and planning practices
Knowledge of project management standards and processes

Skills

Excellent written and verbal communication skills
Good Knowledge of Microsoft Office applications including sharepoint
Ability to build effective working relationships with colleagues across the organisation at all levels, including senior stakeholders at Director level
Ability to plan and organise effectively, managing conflicting priorities and meeting deadlines
Flexible in providing support in varying activities across the office environment
Good influencing skills in the context of engaging with internal and external stakeholders of varying complexity and seniority

Experience

Experience of engaging with internal and external stakeholders
Experience of working within a large and complex organisation with political considerations
Experience of supporting directorates or offices with a wide range of administrative tasks including Head Count controls for resourcing
Experience of engaging in external queries / correspondence representing TfL positively
