Job Overview

We are seeking a dynamic and highly organized Office Administrator to join our team! In this vital role, you will be the backbone of daily office operations, ensuring everything runs smoothly and efficiently. Your energetic approach and attention to detail will help create a welcoming environment for staff, clients, and visitors alike. You will handle a variety of administrative tasks, coordinate schedules, manage communications, and support the overall productivity of our office. Duties

Manage front desk responsibilities including greeting visitors, answering phones with professionalism and courtesy, and directing inquiries appropriately
Maintain organized filing systems both digitally and physically using tools like Google Workspace and Microsoft Office applications
Perform data entry tasks accurately using software such as QuickBooks and other administrative platforms
Coordinate appointments, meetings, and calendar schedules for team members to optimize workflow
Prepare correspondence, reports, and presentations with strong typing skills and attention to detail
Support bookkeeping activities by processing invoices, receipts, and expense reports in QuickBooks or similar accounting software
Assist with supply inventory management, ordering office supplies as needed to ensure smooth operations

Experience

Proven office experience demonstrating strong organizational skills and multitasking abilities
Proficiency in computer skills including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar, Drive), and data entry tools
Previous administrative experience with familiarity in clerical tasks such as filing, scheduling, and document management
Excellent phone etiquette with the ability to communicate clearly and professionally in all interactions
Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced setting
Ability to type quickly and accurately to support efficient documentation processes
Experience working with QuickBooks or similar financial management software is a plus
