Full job description

An exciting opportunity has arisen for a Band 4 Administrator to join our friendly, supportive and forward-thinking Early Intervention in Psychosis (EIIP) Team. We are looking for an enthusiastic, conscientious and reliable individual who takes pride in delivering a high-quality administrative service and enjoys being part of a dedicated team that makes a real difference to the lives of service users and their families.

This is an excellent opportunity for an experienced administrator seeking to develop their skills within a specialist mental health service while contributing to positive outcomes for both service users and colleagues.
As a key member of the team, you will provide a comprehensive administrative and secretarial service to a busy multidisciplinary team, ensuring the smooth and efficient day-to-day running of the service. The role is varied and rewarding, requiring excellent organisational skills, attention to detail and the ability to manage a range of responsibilities in a fast-paced environment.
Based at Unither House, Chertsey, the post holder will work Monday to Friday, 9.00am–5.00pm, in line with service operating hours.

Candidates who are successful at interview will be required to complete a remote administrative assessment. This will be arranged by the HR team on a separate date and will not take place on the day of the interview.

The role includes a wide range of administrative and secretarial duties to support the multidisciplinary team. Responsibilities include managing referral, appointment and discharge processes using the electronic patient record and calendar systems to meet service performance standards and commissioned targets.

The post holder will be responsible for inputting and maintaining accurate patient information on SystmOne, using ESR where required, producing accurate clinical correspondence, responding to inquiries by email, letter and telephone, filing, photocopying, sorting post, scanning and uploading documents, ordering stationery and clinical supplies and providing comprehensive administrative support to meetings, including preparing agendas and taking accurate and timely minutes.

The post holder will act as the first point of contact for service users, carers, GPs, healthcare professionals and partner organisations, delivering a professional, courteous and confidential service at all times. They will also oversee shared team email inboxes and communication channels.

The role requires the maintenance of accurate records and the production of performance and statutory reports using systems including Microsoft Excel, Power BI and SystmOne.

The successful candidate will have excellent administrative, clerical and typing skills, strong organisational and interpersonal abilities, and the ability to prioritise a varied workload while maintaining a high level of accuracy.
