Property Management Coordinator

The opportunity
We are looking for a Property Management Coordinator to join the residential team at Stroud Property Management.
This is a practical, organised role focused on tenancy management and the administration that supports a smooth move-in and ongoing tenancy journey. The core of the role is making sure references, payments, compliance checks, tenancy paperwork, deposits, keys, move-in preparation and system records are completed accurately and on time.
The role reports to the Head of Property Management and supports the wider residential team.
About us
Stroud Property Management was established in 2013 and is based in Southampton.
Although the business was established in 2013, it forms part of a wider, independently owned property portfolio built over more than 30 years. This gives the team the stability of a long-term portfolio, aligned ownership and clear decision-making, rather than working across hundreds of unrelated individual landlords with different standards and expectations.
We are a small, hands-on team. People are expected to take ownership, ask questions, communicate clearly and support each other properly.
What you will be doing
Tenancy management and coordination
- Managing administration from application through to move-in.
- Tracking applications, referencing, payments, paperwork and key dates.
- Chasing missing information and keeping the process moving.
- Checking that tenants are ready for referencing once required payments and documents have been received.
- Preparing tenancy paperwork and supporting tenancy agreement production.
Move-in preparation
- Helping coordinate the practical steps needed before a new tenant moves in.
- Checking that keys are recorded and ready.
- Making sure cleaning, decoration or agreed pre-let works are tracked and followed up.
- Supporting the wider team with move-in readiness.
Compliance and documentation
- Helping monitor and update gas safety certificates, electrical safety certificates, EPCs, Right to Rent checks and related documents.
- Supporting deposit registration and related administration.
- Making sure tenancy documents are saved, recorded and easy to find.
- Keeping records clean, current and audit-ready.
Systems and team support
- Using MRI SLM and internal tracking tools to keep information accurate.
- Keeping boards, spreadsheets and system records up to date.
- Helping the team move towards clearer, repeatable processes.
- Answering calls and supporting day-to-day tasks within the department.
About you
We are looking for someone organised, accurate and comfortable working with systems. You may already be working as a Lettings Coordinator, Tenancy Manager, Lettings Administrator or Property Administrator.
What is a must is that you can follow a process, keep accurate records, chase information properly and stay calm when several jobs are moving at once.
You will ideally bring
- Experience in lettings, property administration, tenancy management or a similar process-led role.
- Strong organisation and attention to detail.
- Confidence using databases, CRM systems or property management software.
- Good working knowledge of Microsoft Excel.
- A clear, professional communication style.
- The ability to chase information without being awkward or passive.
- A practical, hands-on attitude.
- Comfort working in a small team where priorities can change.
- A willingness to learn property systems, compliance processes and tenancy administration.
- A full UK driving licence would be helpful, but is not essential.
