Bid Administrator
Crystal Pathways Ltd is looking for an organised, process-driven Bid Administrator to join our growing bids function. This is a remote, part-time role (25 hours per week) reporting to the Head of Growth and Bids.
This is a process and administration role — not a bid-writing role. You will own the portals, trackers, compliance sections, and our AI-assisted DWP RFQ response workflow, making sure every submission goes in accurately and on time.
Job Description:
Key Responsibilities
- Manage the end-to-end DWP RFQ response process using our AI-assisted drafting workflow
- Monitor DWP DPS2, Contracts Finder, and NHS portals daily for new opportunities
- Maintain all procurement portal registrations and ensure organisational information is always current
- Complete standard compliance and pre-qualification sections across all bid types
- Keep the live pipeline tracker and feedback register up to date at all times
- Request, log, and summarise bid feedback after every result
Person Specification
Essential
- Strong organisational skills and proven ability to manage multiple deadlines
- Experience with online procurement portals (DWP DPS2, Jaggaer, or similar)
- Accurate written English and ability to review AI-generated content
- Self-managing, proactive, and detail-focused
- Comfortable with Microsoft 365 and new digital tools
Desirable
- Previous bid, tender, or contracts administration experience
- Familiarity with DWP DPS2 or public sector procurement
- Experience using AI drafting tools (Claude, ChatGPT, or similar)
