Due to experiential growth in our business, we are seeking a Fleet Coordinator to join our Fleet and Asset Team at our Head Office in Windlesham.
As a Fleet Coordinator, you will work directly with the Fleet Manager to support with all Fleet management activities across Nurture Group.
Key Responsibilities:
- Work in our Key 2 Fleet Management System, a dynamic system encompassing all Fleet related tasks.
- To oversee the fleet inbox and ensure all fleet related enquires both externally & internally are being dealt with in a timely manner.
- Lead effective communication and negotiation with Key suppliers and build rapport with our supply chain partners
- Manage the relationship with our appointed service partners/ suppliers, ensuring SMR and Vehicle off Road (VOR) are managed correctly and ensure vehicles downtime is to a minimum
- Analysing spend on owned vehicles and reporting of vehicles that are beyond economical repairs/ not worth of being repaired
- Managing Fleet compliance data and ensuring Key 2 Jaama is kept updated with regional changes, job numbers and user defined fields to ensure we have the up-to-date information where possible
- Responsible for organising Group Vehicle Requirements in line with the agreed specification & approval process (Spot Hire/ Rental/Contract Hire).
- Liaise with fleet administration team to ensure hire, fuel, other charges, telematics, repair/maintenance purchase orders are raised accordingly.
- Support the Fleet Administrators with day to day tasks such as licence checks, PCN’s, RFL, fleet compliance etc and support in refining and improving fleet processes as business requirements change
- Expediently updating and processing Fleet invoices for payment and challenging non-compliant invoices (overcharge, unauthorised, extra work) and liaise with suppliers as necessary.
- Managing Tolls, CC, Dart Charge, ULEZ, Parking Apps for the Group
- Assist when required with Acquisition roll outs & integration of all associated fleet project tasks
- Monitor the Group Motor Insurance Database (MID) to ensure all vehicles are on MID and Portal is regularly checked.
- Managing Insurance Claims and Damages estimates, challenging costs where necessary with suppliers
- Support Fleet Operations Manager with monthly reporting and other duties when required
- Maintain accurate records of transportation activities, including documentation of trackers and incident reports
- Keep up to date with latest legislation & market conditions.
What we are looking for:
- Good knowledge of Microsoft Office / M365.
- Experience in Microsoft Excel Pivot Tables & VBA would be beneficial.
- Fleet Management Experience required ( 2 years ideally)
- The ability to research and collate information as required to perform role.
- Meticulous attention to detail to ensure accurate work.
- The demonstrable ability to establish and sustain good working relationships, and work individually and to remain calm and motivated under pressure
- Effective oral and written communication skills.
- Good organisational and time management skills.
- Outstanding written and spoken communication skills.
- Proficient with Microsoft office 365 – Word, Excel, SharePoint, Teams etc.
- Excellent organisational & time management skills
- Self-motivation, with the ability to confidently work and independently.
