Job Synopsis:
To organise schedule and administer all Compliance and Planned and Preventative Maintenance, (PPM) from original appointment through to providing the final certificate to the client using the service system software for all customer contracts. You will be responsible for ensuring all PPM’s for all contracts are complete within the correct time scales, allowing all systems to stay compliant. All PPM calls to be raised via our internal software systems and appointments booked with the customers. Electronic certification to be collected checked and presented to the client within the required timescales. You will be responsible for ensuring that all PPM engineer time sheets are correct and cleared down each day.
Responsibilities:
- To ensure all systems that fail inspections are identified and logged requiring remedial works.
- Meeting deadlines – Booking appointments, logging maintenance jobs and responding to emails.
- Communicating with customers, management and engineers and addressing all queries fully.
- Managing the escalation of planned maintenance to ensure completion within predetermined timescales.
- Managing and administering engineer’s time.
- Assisting with the day to day responding to emails, phone calls and any task issued by the compliance officer.
- Escalating any complaints to management.
- Have a clear understanding of all contracts under planned maintenance for the service carried out, how to action remedial, contact details, and where to locate information.
- Covering compliance officer’s annual leave where needed.
- Assisting Compliance Manager and Compliance Officers. Advance planning of inspections to optimise travel
- Report writing – both internal and external reports
- Submitting certification to clients as per requirements
- Arranging works for and return of certification from sub-contractors
- Managing compliance e mail inbox for queries.
- Providing a mitigation report for any compliance testing that was not completed in the prescribe time.
