Job Purpose
As the Internal Sales Administrator (OEM) your role is an essential part of supporting the OEM Sales Team and maintaining excellent customer service standards. Your main responsibility is to assist with customer enquiries, generate accurate quotations, and process customer orders efficiently.
You will act as a key contact point between customers, the sales team, and internal departments, ensuring orders are processed correctly and delivery expectations are met. Maintaining clear communication and providing timely updates to customers will help ensure high levels of customer satisfaction and support the company’s sales growth.
Key Responsibilities
· Act as the primary office contact for customer enquiries received via telephone or email.
· Generate professional and accurate quotations for customers within required response times, initially supported by the OEM Sales Team.
· Process customer orders accurately and efficiently, ensuring order acknowledgements are sent promptly.
· Manage and update customer orders, including handling amendments and keeping customers informed of any changes.
· Communicate effectively with internal departments including Purchasing, Operations, and Supplier Teams to ensure orders are delivered on time.
· Provide regular updates to customers and the OEM Sales Team regarding order progress, particularly any delivery changes or delays.
· Handle customer queries, complaints, and product returns in accordance with company procedures and quality standards.
· Maintain strong working relationships with customers, internal teams, and supplier partners.
· Follow company policies, office procedures, and safety guidelines at all times.
· Support colleagues and ensure continuous customer service during periods of absence.
· Attend training sessions and actively pursue product knowledge and market understanding to support sales and service targets.
Essential Skills
· Communication Skills: Must demonstrate strong written and verbal communication skills, with a professional telephone manner and the ability to resolve conflicts effectively.
· Computer Skills: Competent in using Microsoft Office, particularly MS Excel and MS Word, along with email and internet systems. Experience with systems such as Sage, SAP, or Intact would be beneficial but is not essential as training will be provided.
· Numerical Skills: Strong numerical ability with the capability to calculate currency exchange rates, cost prices, selling prices, and profit margins accurately.
· Organisational Skills: Ability to manage multiple customer orders and enquiries efficiently while meeting deadlines and maintaining attention to detail.
· Teamwork: A strong team player who can collaborate with colleagues and support the wider sales team.
· Attention to Detail: Ability to accurately process orders, quotations, and customer information to minimise errors.
· Motivation and Enthusiasm: Self-motivated with a positive attitude and willingness to learn about products and markets to help support company growth.
