Supporting Robert Ellis – From First Call to Completion

This is a hands-on and important role where you will be at the heart of the sales journey, supporting the office team and helping our clients enjoy a smooth and professional experience from their first enquiry through to completion.
Working in a busy, fast-paced estate agency environment, you will play a key part in helping the branch secure sales, progress transactions, and maintain the high standards our clients expect from Robert Ellis.
Customer Engagement & Frontline Support
You will be one of the first points of contact for buyers and vendors, helping to create a positive and professional first impression. Your responsibilities will include:
- Taking incoming enquiries from potential buyers and vendors
- Registering customer details accurately on our CRM system
- Booking and managing viewings efficiently to maximise opportunities
- Taking offers from buyers and helping negotiate the best outcome for our clients
- Providing friendly, helpful and professional support to customers throughout their journey
Your communication skills, attention to detail and customer-focused approach will help reinforce the Robert Ellis reputation for excellent service.
Driving Sales Forward
A key part of the role is helping to secure strong, proceedable buyers and reduce the risk of sales falling through. This will include:
- Assessing buyer credibility through financial and proceedability checks
- Promoting our in-house mortgage and conveyancing services
- Helping match the right buyer to the right property
- Supporting the office in securing quality offers from buyers who are in the best position to proceed
Your work will directly contribute to the success of the branch by helping to secure stronger sales and improving the chances of each sale reaching exchange and completion.
Controlling the Sale to Completion
Once a sale is agreed, you will help manage and progress the transaction through to exchange and completion. This will involve:
- Progressing sales from offer accepted through to completion
- Liaising with solicitors, mortgage advisors, surveyors and other parties in the chain
- Keeping buyers and sellers updated, reassured and informed throughout the process
- Chasing outstanding information and helping to resolve issues quickly
- Keeping detailed written and electronic records of all progress and communication
Success in this role will be measured by the percentage of sales that successfully reach exchange, as well as the quality of communication and support provided to clients throughout the process.
Team Support
As part of a busy branch, you will also support the wider office team where needed. This may include:
- Assisting with general office administration
- Helping with viewings when required
- Covering for colleagues during lunch breaks, holidays and busy periods
- Being flexible, proactive and willing to support the smooth running of the office
The Ideal Candidate
This role would suit someone who is organised, confident, proactive and enjoys working with people. You will need to be able to work well under pressure, manage multiple tasks at once and communicate clearly with clients, colleagues and third parties.
Previous estate agency experience would be helpful, but the most important qualities are a positive attitude, strong attention to detail, excellent customer service skills and the ability to keep sales moving forward.
