We are seeking a highly organised and reliable Terminal Administrator to support operations at our Ipswich Terminal.
This is a varied role providing administrative support across both terminal operations and shipping agency activities. Working closely with the Terminal Manager and Ships Agency team, you will play a key role in ensuring the smooth day-to-day running of the terminal through accurate record keeping, operational administration, weighbridge support and compliance documentation.

What You'll Be Doing
- Provide administrative support to the Terminal Manager and Ships Agency team.
- Maintain accurate records, documentation and filing systems in line with company procedures.
- Prepare reports, spreadsheets and operational documentation to support terminal activities.
- Manage correspondence and respond to enquiries in a timely and professional manner.
- Support the preparation, processing and filing of terminal and shipping agency documentation.
- Assist with day-to-day weighbridge administration and associated record keeping.
- Prepare and distribute Waste Transfer Notes and maintain accurate waste documentation in line with company procedures.
- Liaise effectively with internal teams, customers, drivers, vessel representatives and external stakeholders.
- Assist with invoicing, cost tracking and general financial administration.
- Ensure documentation is accurate, compliant and audit-ready.
- Handle confidential operational and commercial information appropriately.
- Support wider team activities as required.
Working Hours
- Monday to Friday, 8.30 am – 4.30 pm
About You
We are looking for someone who:
- Has previous administrative experience in a busy or fast-paced environment.
- Is highly organised, with strong time management skills.
- Has excellent attention to detail and accuracy.
- Is confident using Microsoft Office (Word, Excel and Outlook).
- Can prioritise workload and meet deadlines.
- Communicates clearly and professionally, both written and verbally.
- Enjoys working as part of a team and supporting operational activities.
It Would Be Beneficial If You Also Have
- Experience within shipping, logistics, ports or terminal operations.
- Familiarity with shipping agency, vessel or operational documentation.
- Experience of weighbridge administration.
- Understanding of Waste Transfer Notes or environmental compliance documentation.
- Experience supporting multiple teams or stakeholders.
