Overview
The People & Culture Coordinator plays a pivotal role in supporting the employee experience across the Montcalm Collection. This is a broad, hands-on role that sits at the intersection of HR administration, learning and development, and employee engagement — ensuring that our people feel supported, connected, and invested in from day one.
Working closely with the wider People & Culture team, the Coordinator ensures that HR processes run smoothly and efficiently, while also taking ownership of key learning and development activities that help our teams grow and thrive. This role is equally responsible for nurturing our social calendar and culture-building initiatives, ensuring Montcalm Collection remains a place where people are proud to work.

Key Responsibilities
HR Administration
- Support the full employee lifecycle across all Montcalm properties, from onboarding through to offboarding.
- Maintain accurate and up-to-date employee records.
- Handle day-to-day HR enquiries from employees and managers, providing timely and professional guidance.
- Manages own and general HR inbox.
- Ensure HR policies and procedures are maintained, up to date, and accessible to all team members.
- Support compliance reporting, HR audits, and adherence to employment legislation.
- Provide general administrative support to the wider People & Culture team and assist leaders with HR-related tasks as needed.
- Assist with recruitment campaigns, employer branding content, and represent the company at career events and job fairs.
Learning & Development Coordination
- Act as the day-to-day coordinator for all learning and development activity across the Montcalm Collection.
- Manage the L&D calendar, scheduling and coordinating training sessions, workshops, and development programmes throughout the year.
- Track and maintain training records, and appraisals and completion data across all properties, producing regular reports for the Group Learning & Development Manager.
- Support the coordination of onboarding training plans for new starters, ensuring a structured and engaging first weeks experience.
- Assist in the administration of e-learning platforms and digital training tools, acting as a first point of contact for system queries.
- Coordinate mandatory compliance training (including fire safety, food hygiene, and licensing where applicable), monitoring completion rates and following up with managers.
- Support the identification of learning needs through data, feedback, and close collaboration with managers and department heads.
- Assist in the design and preparation of training materials, presentations, and resources in line with Montcalm brand standards.
- Support the coordination of performance review cycles and development plan administration, ensuring timelines are communicated and documentation is managed effectively.
Employee Engagement & Social Calendar
- Assist with the employee social calendar, planning and coordinating a varied programme of engagement events throughout the year — from team socials and seasonal celebrations to recognition moments and wellbeing activities.
- Coordinate employee recognition programmes and campaigns that celebrate contributions and reinforce the Montcalm values.
- Support the delivery of employee engagement surveys, collating results and assisting in communicating findings and action plans back to the business.
- Work with the People & Culture team to develop and deliver internal communications that promote culture, values, and upcoming people initiatives.
- Support diversity, equity, and inclusion (DEI) events and awareness campaigns throughout the year.
- Contribute to projects that improve the overall employee experience and sense of belonging across the Collection.

Skills & Qualifications
Strong written and verbal communication skills, with a confident and professional manner across all channels.- Proven organisational and administrative skills, with high attention to detail and the ability to manage multiple priorities simultaneously.
- A proactive and flexible approach, able to manage time effectively in a fast-paced, multi-site environment.
- A genuine passion for hospitality and a commitment to delivering an exceptional colleague experience.
- Ability to maintain confidentiality and handle sensitive information with discretion and professionalism.
- Experience using Microsoft Office (Outlook, Word, Excel, PowerPoint) and digital platforms.
- Experience in a HR administrative role, ideally within hospitality, luxury, or high-volume sectors.
- Experience or a strong interest in learning and development coordination, including scheduling, tracking, and supporting training delivery.
- Familiarity with right to work checks and pre-employment compliance processes.
- A collaborative and enthusiastic attitude, able to build strong working relationships across departments and all levels of seniority.
- Knowledge of GDPR principles as they apply to employee data and HR processes.
- Minimum of 1–2 years of experience in a similar HR or people-focused role is desired.
- Knowledge of Fourth, Harri, and Mapal is desirable.
Working Condition
Full-time, office-based position.
- Must be flexible to travel between properties across London to support HR and L&D initiatives.
Eligibility
