We are currently seeking a highly organised and detail-focused Planned Works Administrator to support the scheduling and coordination of planned works, ensuring efficiency and high levels of customer satisfaction.
The Role
As a Planned Works Administrator, you will play a key role in supporting the smooth delivery of planned works operations. You will be responsible for booking jobs, coordinating engineers, maintaining accurate records, and ensuring all client requirements are met.
This is a fast-paced, administrative role requiring excellent organisational skills, strong attention to detail, and clear communication.
Key Responsibilities
Planned Works Coordination
- Support daily planned works operations, ensuring jobs are completed in line with client requirements and timeframes.
- Accurately book and schedule jobs using the appropriate engineers, resources, and equipment.
- Ensure all works are logged correctly on internal systems and client portals.
- Identify and resolve scheduling or administrative errors quickly to minimise disruption.
- Assist in optimising engineer availability and reducing unnecessary travel.
- Provide accurate updates and reports to management where required.
- Sourcing, purchasing and negotiating prices of equipment/products.
- Support continuous improvement of processes to increase efficiency and accuracy.
Team & Field Support
- Maintain regular communication with engineers and road teams to ensure smooth job delivery.
- Follow up on outstanding actions to ensure works are completed within agreed timeframes.
- Escalate operational issues to management when necessary.
Customer Service
- Respond to scheduling-related customer queries professionally and promptly.
- Ensure accurate and timely communication with clients regarding bookings, updates, and completions.
- Assist in maintaining high levels of client satisfaction across all planned works.
- Use company systems (e.g. BigChange) to support effective geographical planning and scheduling.
Cross-Department Collaboration
- Work closely with internal departments to ensure a coordinated service delivery.
- Communicate client feedback and requirements to relevant teams.
- Support administrative functions across the wider operations team when required.
