Job Description and Person Specification
JOB DESCRIPTION
Responsible to: The Trustees of Llandrindod Foodbank
Responsible for: Overall management and coordination of the Oasis project, line management of the Foodbank Manager and other appointed staff and overall management of volunteers
Salary: £30k+ p.a., pro rata
Part-time: 25hrs per weekdays Main base at Oasis. Work from home with approval of Chair of Trustees.
Permanent Post
Overall responsibility of the job: Manage the development of Oasis to help people out of poverty and restoring their dignity, oversee the operation of the Foodbank, its satellites, and the Advice centre, with concern for its operational efficiency and standards in accordance with The Trussell franchise model. In partnership with the Trustees: guide the development of the Oasis project, including its material resources, financial assets, reputation, partnerships, and volunteer body.
Specific responsibilities:
Reporting to Trustees
· Report to the charity’s trustees at such meetings as the trustees may call.
· Consult with the Chair of Trustees on agendas and other strategy and policy matters.
· Draft minutes of meetings in the absence of a minute taker.
· Provide operational reports for Trustee meetings.
· Advise the trustees of exceptional events, such as complaints, major press contacts, accidents, external evaluations or risk to operation or reputation.
Trussell Trust compliance
· Comply with the terms of the foodbank franchise, including standard operating procedures.
· Regular communication with TT Area Manager and attendance at meetings arranged for the area Foodbanks.
Communications
· Be the first point of contact for enquiries, responding on behalf of the foodbank and Oasis with assistance from the Foodbank Manager or volunteer administration assistant.
· Maintenance and development of communication systems
· Management of external communications in accordance with Foodbank Charity Policies
· Maintain consultation with Foodbank and Oasis users and the local community.
Staff Review and Development
· Participate in and maintain a system of staff review and development.
Safeguarding
· Be the lead on safeguarding for Oasis.
Compliance with regulation and the law and Foodbank Charity Policies
· Ensure that the operation of Oasis complies with legal and Charity Commission regulatory requirements.
· Ensure that Foodbank Charity policies are developed, regularly reviewed, and approved by Trustees.
· Ensure that Foodbank Charity Policies approved by Trustees are complied with.
Volunteers
· Take responsibility for the recruitment, deployment, training, and development of volunteers for Oasis to ensure that there is an adequate team of volunteers with diverse abilities and identified roles.
· Regular engagement and consultation with volunteers from both foodbank and advice and support centre
Foodbank
· Monitor the operational standards of the foodbank in liaison with the Foodbank Manager and determine necessary actions to maintain them.
Advice and Support Centre
· Manage and develop the Advice Centre in liaison with agencies and other users.
· Develop and maintain appropriate agency and other advisory and support organisations’ presence at Oasis to contribute to this charity’s constitution and mission.
· Develop the collection of data from the Advice and Support Centre to assist planning.
Visitor, client, and user interface
· Oversee and ensure a safe and comfortable experience for all who come into Oasis by arranging and ensuring that there is an effective visitor management system in place and maintained.
Data
· Be familiar with the Foodbank on-line data system (DCS), monitoring the key data indicators and trends.
· Support, when required, the Foodbank Manager and data volunteers to ensure regular and accurate entry of stock and vouchers.
· Keep records of the data produced by the Advice Centre agencies.
Agencies
· Liaise with referral and other partner agencies in response to queries or issues and ensure up to date information is maintained from both sides.
· Maintain communications and positive relations with external Stake Holders
Future Projects
· To identify the need for, and possibility of, new projects that further the relief of poverty in the community and draft future project proposals
· To work with the Trustees to establish projects that they have approved and recruit suitable people to run them.
Public Relations
· Issue press releases as appropriate and respond to local press enquiries.
· Prepare and issue newsletters to maintain engagement of supporters and partners.
· Ensure Oasis social media and websites are regularly kept up to date and are contributing to the development of the Oasis project in accordance with this charity’s policies.
· Ensure that significant changes to communication with the public- whether in content, message or media have the approval of the Trustees.
· Promote Oasis where possible to include giving presentations and attending local meetings and Charity Promotion events.
Finance of Oasis
· Comply with the Oasis’s financial management policy and agreed budget.
· Identify possible funding sources and prepare applications for Trustees approval.
· Provide the volunteer treasurer with details of payments and receipts, and supporting documents, to enable proper accounting.
Quality Assurance
· Monitor the views of stakeholders.
· Assist the Trustees in the annual Quality Assurance Report for the Trussell Trust.
PERSON SPECIFICATION
Experience:
· Experience of managing people
· Experience of working or volunteering in an organisation that deploys volunteers
· A sound understanding of, and experience of engagement with, churches and Christians of different denominations and those with other religious beliefs.
· Fundraising experience preferred.
Key Skills:
· Ability to manage and monitor the development of a project.
· Good oral communication
· Confident user of IT
· Ability to work independently and unsupervised.
· Numerate and comfortable collecting and interpreting statistical data.
· Empathy and ability to work with people from disadvantaged, marginalised, or socially excluded backgrounds.
