The Vehicle Preparation Co‑ordinator is responsible for managing the end-to-end preparation of new and used vehicles, ensuring they are brought to retail standard efficiently and without unnecessary delay. This role is key to keeping stock moving, minimising downtime, and maintaining high quality standards across all vehicles.
The successful candidate will be highly organised, proactive, and able to coordinate multiple workstreams in a fast-paced environment.
Key Responsibilities
Vehicle Preparation Management
- Oversee vehicles through all stages of the preparation process, including:
- Mechanical preparation
- Bodywork repairs (dings, dents, paintwork)
- Trim and cosmetic repairs
- Wheel refurbishment
- Valeting
- Monitor progress and ensure all work is completed within agreed timelines
- Act quickly to resolve delays and remove process bottlenecks
Efficiency & Process Improvement
- Develop, implement, and continuously refine preparation processes to maximise efficiency
- Minimise vehicle downtime and ensure rapid progression to the forecourt
- Monitor performance and identify areas for improvement in turnaround times and workflow
Stakeholder Coordination
- Liaise closely with key internal and external stakeholders, including:
- Workshop Control
- Sales Managers and sales teams
- External suppliers and subcontractors
- Coordinate scheduling and workload to ensure a smooth and efficient operation
Quality Assurance
- Ensure all vehicles meet required preparation and presentation standards
- Carry out quality checks and sign-offs where required
- Address any quality issues promptly and effectively
Planning & Prioritisation
- Manage multiple priorities and dynamically adjust workflows based on business needs
- Ensure high-priority vehicles are progressed quickly and efficiently
About You
- Experience in automotive operations, vehicle preparation, workshop control, or a similar environment is beneficial but not essential
- Previous experience in a logistics, coordination, or process-driven role would be a distinct advantage
- Strong organisational and time-management skills
- Ability to manage multiple tasks and shifting priorities under pressure
- Excellent communication and relationship-building skills
- Proactive, driven, and solutions-focused mindset
- High attention to detail and commitment to maintaining quality standards

Working Hours
- 40 hours per week, Monday to Friday
- Working hours between 7:30am and 4:30pm, including a 1‑hour lunch break
- Some flexibility may be required to meet business and operational needs
