Job Description PA to CEO
Job Overview
To provide a wide range of personal, secretarial and administrative support to the CEO in a fast-paced, high-demand environment. This is not a typical PA role — we are looking for someone as comfortable managing high-level schedules as they are using AI tools, analysing spreadsheets, and streamlining processes.
Main Duties and Responsibilities
Provide administrative support by managing and organising the CEO’s diary.
Manage emails and phone calls, responding accordingly and filtering requests on his behalf.
Keep and maintain accurate records.
Organise premium travel coordination – flights, accommodation, itineraries across the UK, Europe, and Dubai.
Book taxis/transportation for the CEO and guests in the UK, Europe, and Dubai.
Arrange lunches, dinners and entertainment for the CEO and guests in the UK, Europe, and Dubai.
Remotely assist the CEO and other offices/directors where possible.
Prepare documentation including reports, presentations, and agendas.
Arrange and take notes during meetings where applicable.
Manage personal banking tasks and support bookkeeping for property management, maintaining accurate financial records.
Use Excel and Xero Accounting software for budgets, reconciliations, and basic accounting.
Confident communication skills, able to build ongoing client and stakeholder relationships.
Utilise AI and automation tools to streamline processes and improve efficiency.
Assist in ad hoc projects and provide CEO time management support with errands not essential for the CEO to handle personally.
Key Competencies
Proven PA experience in a fast-paced, senior-level environment.
Excellent record keeping skills with a focus on quality and accuracy.
Strong Microsoft Office and Excel skills (pivot tables, formulas, data analysis).
Basic accounting/financial literacy skills; experience with Xero desirable.
Tech-savvy mindset — confident in adopting AI and automation tools.
Good organisational skills with the ability to priorities own workload and that of the CEO.
Excellent customer service and communication skills, both verbally and in writing.
Ability to work on own initiative with minimal supervision to achieve deadlines.
Strong understanding of confidentiality and GDPR.
Adherence to company Health & Safety policies and procedures.
Discretion, professionalism, and a solutions-focused attitude.

Pay: £30,000.00-£35,000.00 per year
