About Us
Car Accident Centre Ltd is a growing vehicle repair and accident management company. We are seeking a reliable, organised, and proactive Finance & Invoicing Support Assistant to support our Finance Manager with the day-to-day administration of our finance department.
This role is ideal for someone who enjoys working in a fast-paced office environment, is confident making telephone calls, and can effectively liaise with suppliers, customers, HMRC, and our external accountants.
The Role
You will be responsible for handling the day-to-day administrative and communication tasks that ensure our finance processes run smoothly. The successful candidate will take ownership of following up outstanding matters, resolving account queries, generating invoices, and supporting the Finance Manager with finance-related administration.
Key Responsibilities
- Generating customer invoices accurately and in a timely manner.
- Managing invoice-related queries from customers, suppliers, and internal departments.
- Chasing outstanding payments and overdue invoices.
- Contacting customers regarding unpaid accounts and payment updates.
- Obtaining supplier statements and reconciling account balances.
- Liaising with suppliers and vendors regarding account and payment queries.
- Communicating with HMRC regarding PAYE, VAT, Corporation Tax, and other routine matters.
- Working closely with our external accountancy team to provide information and resolve queries.
- Making outbound calls and sending emails to customers, suppliers, and third parties.
- Investigating and resolving finance, invoice, and payment-related issues.
- Assisting with account reconciliations and maintaining accurate financial records.
- Recording and tracking communications and outstanding actions.
- Supporting the Finance Manager with ad hoc finance and administrative duties.
- Escalating complex issues where required.
Candidate Requirements
- Highly organised with strong attention to detail.
- Confident and professional on the telephone.
- Excellent communication and customer service skills.
- Comfortable chasing payments and resolving queries.
- Proactive with a positive, can-do attitude.
- Able to work independently and manage workloads effectively.
- Good IT skills, including Microsoft Office and email systems.
Desirable Experience
- Accounts administration, finance administration, credit control, invoicing, or office administration experience.
- Experience generating and processing invoices.
- Experience handling customer and supplier invoice queries.
- Knowledge of PAYE, VAT, and general bookkeeping processes.
- Experience using Sage, Xero, QuickBooks, or similar accounting software.
