La Crisalida Retreats is a health and wellbeing centre offering a year round programme for guests to relax and rejuvenate, to kick-start a healthy lifestyle and to re-balance, re-connect and re-energise. We provide a friendly and welcoming centre in mid Wales, for guests from a wide range of backgrounds and experiences, who come to enjoy activities including yoga, walks, workshops and more, as well as plant-based food.
We are seeking a friendly and professional Receptionist to join our team. You will be at the heart of our guests experience, from their first enquiry, all the way through making their booking, arriving, settling in and then to check-out. As Receptionist you will be the first point of contact for reservations and guests at the retreat.
Providing great customer service, you work with the team of programme mentors, cooks, housekeeping and maintenance to ensure guests have a great retreat experience. In this role you will see the entire guest health and wellbeing transformation from enquiry and arrival through to departure.
This role requires strong organisational skills, attention to detail, and the ability to multitask, working in a calm and quiet manner.
Training is provided on our approach to health and wellbeing, as well as all practical elements of the receptionist role.
Reception shifts are generally between 7.30 or 9.00 to 21.00, usually 6 hours a day, five days per week (option for fewer hours is available), on a rota basis. Weekend and holiday working is included, shifts are shared between the team.

Reception responsibilities include:
- Greeting guests upon arrival with warmth and professionalism, ensuring a positive first impression
- Managing guest check-in and check-out procedures efficiently and accurately
- Handling guest enquiries and bookings via phone, email, or in person with courteous phone etiquette
- Providing information about retreat facilities and services, including giving guests a tour after they have checked in.
- Managing reservations, balance payments, cancellations and modifications using the hotel management system
- Processing payments securely and issue receipts or invoices as required
- Coordinating completion of guest information prior to arrival
- Coordinating with therapists to book in-house treatments for guests
- Coordinating with housekeeping and maintenance teams to ensure guest rooms are prepared and maintained to high standards
- Responding to guest complaints or issues promptly and escalating when necessary to ensure resolution
- Maintaining a tidy and organised reception area at all times
- Administrative tasks such as filing, data entry, and reporting as needed
Person specification
- Friendly and welcoming to guests, with exceptional communication skills both verbally and in writing
- A passion for providing great guest service to ensure optimum retreat experience for every guest
- A calm, confident and professional manner
- Strong organisational skills, with the ability to prioritise tasks effectively.
- Excellent IT skills: experience of and comfortable using Microsoft office software and email, with excellent typing speed and high levels of accuracy, particularly when providing prices.
- Ability to maintain confidentiality and handle sensitive information.
- A proactive approach to problem-solving and the ability to work independently as well as part of a team.
- Ability to focus on the job at hand and avoid low priority distractions.

Experience
- Experience of working on a reception desk in a hotel or other professional environment is preferred but not essential for the right candidate. Previous clerical, customer service or administrative experience is advantageous.
- Experience of using a hotel management system for room bookings is preferred. Training is provided.
