We are seeking a proactive and detail-oriented Operations & Finance Coordinator to support the smooth running of financial, administrative, and operational activities across multiple sites. The role combines finance administration, payroll support, operational coordination, and client/site support responsibilities.

Key Responsibilities
Finance & Invoicing
- Process supplier and contractor invoices in a timely and accurate manner
- Raise and issue customer invoices across multiple clients
- Maintain financial records using accounting systems (e.g., QuickBooks or similar)
- Support management reporting, quotations, and payment tracking
- Prepare VAT invoices and provide financial documentation to accountants
Timesheets & Payroll Support
- Review and process staff and contractor timesheets for payroll
- Calculate overtime and ensure accurate payroll submissions
- Consolidate timesheet data and liaise with external accountants/payroll providers
Operations & Site Support
- Monitor daily operational logs and follow up on exceptions or discrepancies
- Conduct stock checks, manage supplies, and support site audits
- Coordinate equipment maintenance and resolve technical or service issues in collaboration with third-party providers and IT teams
- Support site-based operations, including travel to locations when required
- Assist with on-call duties and provide cover for staffing gaps when necessary
- Manage distribution and tracking of access credentials or operational badges
Cross-Functional Coordination & Reporting
- Produce regular operational and financial reports for management review
- Escalate and track unresolved operational or technical issues to senior stakeholders
- Support client communication and service level agreement (SLA) documentation as required
- Contribute to bidding, service proposals, and operational planning activities
Pay: £38,496.93-£41,998.00 per year
