We support concerts, festivals, sporting fixtures, exhibitions and major public events providing reliable, compliant and well-managed teams to our clients.
Our workforce is made up largely of casual event stewards and security professionals, and effective planning and deployment is critical to our success.
The Role
We are seeking highly organised and proactive Roster & Deployment Coordinators to manage the scheduling, allocation and deployment of our casual workforce across NI and ROI.
This role is responsible for ensuring appropriately licensed personnel are allocated in line with operational and compliance requirements.
The position requires strong attention to detail, the ability to manage high volumes of staff, and confidence working in a fast-paced, fluid, deadline-driven environment.
Key Responsibilities
- Create, manage and maintain accurate staff rosters for multiple concurrent events
- Support the operations team in planning for major events, seasonal peaks and multi-venue scheduling
- Liaise with Bookings Team Leaders and Operations Managers re Event profiles and requirements
- Monitor staff availability
- Allocate appropriately licensed and skilled personnel
- Ensure deployment complies with:
- SIA licensing requirements (UK)
- PSA licensing requirements (ROI)
- Right to Work documentation
- Working Time Regulations (UK) / Organisation of Working Time Act (ROI)
- Competency and training requirements
- Coordinate shift confirmations, deployment instructions and briefings through approved communication platforms
- Respond promptly to staff queries
- Manage short-notice changes, absences and operational amendments in accordance with internal procedures
- Escalate operational risks to Management promptly in line with internal procedures
- Support mobilisation planning for large-scale events and new contracts
- Maintain accurate workforce data and produce staffing reports for operations
- Participate in company’s on-call rotas as required
- Ensure compliance with GDPR (UK & EU) and internal data protection policies
Skills & Experience Required:
- Excellent organisational and problem-solving skills
- High level of accuracy and attention to detail
- Ability to prioritise effectively in a fast-paced environment
- Proficient computer literacy skills
- Strong communication, interpersonal and relationship building skills
- Experience of handling client/customer enquiries and support
Desirable but not essential as training will be provided:
- Experience within the event security or stewarding sector
- Experience working across multi-site or multi-jurisdiction operations
- Knowledge of large-scale event mobilisation planning
- Previous experience in rostering, scheduling or workforce planning
· Experience managing large pools of casual or zero-hours contract staff
· Strong understanding of security licensing frameworks (SIA and/or PSA)
· Experience in compliance or quality assurance processes.
When and Where you will work
This role is based at our offices in the National Stadium Belfast. This is a full-time position that requires you to work 40 hours per week. Evening and weekend work will be required, particularly during major events. Travel to events and venues across NI maybe required and on occasion ROI.
