We are a private children's health clinic in North West London.
Role Overview
We are looking a 'Clinic Host' to help cover weekends, and sickness/holiday day throughout the week when our full-time team are not available. This would be a zero hours contract but with room to develop into a more substantial role, subject to need and performance.
As the first point of contact for families, you will play a vital role in ensuring our clinic operates smoothly and that every family receives exceptional service. You will be the friendly and empathetic face of our clinic, as well as managing new enquiries.
This post is subject to the Rehabilitation of Offenders Act (Exceptions Order) 1975 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service to check for any previous criminal convictions.
Key Responsibilities
Front Desk and Patient Interaction
- Serve as the first point of contact for families, both in-person and over the phone/email/messaging.
- Checking in’ and ‘checking out’ families when they arrive at the clinic
- Provide a warm, empathetic, and professional welcome to children and their families.
- Handle enquiries, concerns, and feedback with sensitivity and reassurance.
- Schedule, confirm, and manage appointments for patients and clinicians.
- Take payments, issue receipts, and liaise with insurers for authorisation and billing.
- Checking daily and weekly appointments to ensure all forms have been completed, invoices paid, any information needed for doctors etc.
Clinic Duties
- 'Opening up' and 'closing down' the clinic each day
- Setting up/changing over rooms for different clinics
- Keeping reception, kitchen and all public areas clean, tidy and well-stocked
- Keeping clinic rooms clean, tidy and well-stocked
Administrative Duties
- Maintain and update the clinic’s practice management system, Semble, ensuring all patient records are accurate and up-to-date.
- Managing the calendar to ensure minimal conflicts
- Complete tasks set by clinicians e.g. book follow-up appointments or tests.
- Coordinate with external parties such as labs, suppliers, and insurers.
- Sending and scoring questionnaires
Skills and Experience Required
Essential
- Exceptional interpersonal skills, with ability to build rapport with families and children.
- Ability to multi-task and remaining calm under pressure.
- Strong organisational and administrative skills.
- IT skills, including familiarity with practice management systems.
- High level of empathy, professionalism, and customer service.
Desirable
- Understanding of paediatric healthcare and experience working with children.
- Experience of working directly with clinicians within the private healthcare sector (this could be a non-clinical role or previous experience as an HCA or similar).
- Flexible approach to work, with pro-active problem-solving skills in order to be able to adapt to the evolving needs of a new clinic.
