We’re recruiting for a Payroll and Benefits Administrator to ensure we process accurate payroll, employee data and benefits across our client groups.
The Role (quick overview):

This is a really varied role covering payroll data collection, instructions and validation, and employee benefits administration. You will work closely with the:

Payroll & Systems Advisor and your fellow team members to ensure you’re supporting our employees as the first point of contact for benefits information across the Group;

wider People Team to ensure you’re supporting the business in the right way.

Main Responsibilities:
Payroll Administration
-
Audit HRIS to ensure all employee lifecycle changes and necessary data are recorded in timely fashion ahead of payroll cut-off.

Liaise with Havas Shared Services centre to communicate monthly employee updates for payroll and address any relevant enquiries in timely and accurate manner. This includes salary changes, benefit deductions, childcare vouchers, parental leave, new starters and leavers.

Check and reconcile payroll data against HRIS and monthly updates after 1st run to ensure accuracy.

Be a front facing contact for all employees on payroll & tax queries, dealing with sensitive matters in a prompt and professional manner.
Benefits Administration (training can be provided for the right candidate)

Act as the first point of contact with employees to manage questions and queries about employee benefits, informing employees of their benefit options.

Maintain relationships with external benefit providers.

Maintain membership of all benefit platforms, ensuring these are kept up to date (e.g. PMI, gym, discount platform, etc.) on monthly basis in line with deadlines; performing regular audits to ensure data is accurate.

Support in communication and promotion of employee benefits throughout the year.
General administration

Keep all e-files up to date.

Keep abreast of changes and developments in relevant legislation.

Ensure all data is managed and maintained in accordance with GDPR, as part of wider People Team.

Ensure that the safeguards and controls remain in place and any changes are recorded and communicated to mitigate risk.
Who we’re looking for:

Excel skills (data validation, basic formulae like vlookup/if/match)

Ability to prepare manual payroll calculations (for example statutory leave payment schedules) in Excel
-
You must be able to provide support to the wider HR team and business, with intermediate Excel and Word skills.

You will need to be highly organised and deadline-focussed.

You should have a high level of accuracy and attention to detail.

You should be a compelling and concise communicator – persuasive and confident in your communication and able to translate complex data into layman’s terms
