Job Description and Person Specification – Parish Secretary
8 hours per week, National Living Wage. Potential for additional hours
Working days by arrangement but likely to be spread over 3 days per week
Reporting to the Parish Priest you will be expected to work independently in a caring and sensitive manner, adhering to strict confidentiality and data protection procedures
Your hours of work will be carried out in the Office within the Presbytery, Stirling Street, Galashiels, however there may also be opportunities to work from home (as and when agreed)
The post will be subject to a probationary period of six months
Job Purpose
To support the smooth running of the Parish by managing a range of administrative tasks
Job Description – Duties of the Post
Provide administrative and secretarial services to the Parish Priest including maintaining the Priest’s diary
Manage mail, e-mail and telephone enquiries and pass messages on to appropriate people
Manage Parish’s website and Facebook page, and prepare weekly newsletter
Large scale photocopying and printing
Design and develop order of service booklets for Christmas, Easter, First Communion and other special services.
Liaise and assist with Group Co-ordinators in arranging Parish Events
Liaise with Funeral Directors and other agencies
Maintain Parish accounts on a weekly basis with input to the Parish’s Accounting system OPAS (training in OPAS will be provided) and regular bank reconciliations
Process invoices
Invoice third parties
Maintain accurate filing system
Manage Bookings for the Parish’s 2 Church Halls
Disseminate relevant information to each of the Parish’s Churches (apart from Galashiels, there are Churches in Selkirk and Melrose)
Support Safeguarding Co-ordinators
Order supplies for Churches, Halls and Parish Houses
Other reasonable duties as required by the Parish Priest
Hold regular meetings with the Parish Priest
Person Specification
2 years’ experience in a relevant role
Ability to work on own initiative and with a range of people
High standard of written English
Strong IT skills – Word, Excel and an aptitude to pick up the Parish’s Accounting system, OPAS
Social media skills – to enable eventual taking over of Parish’s website and Facebook page
Excellent time management and organisational skills
Understanding of the need for confidentiality and discretion
Understanding of data protection legislation
