Following significant growth and the successful award of several major contracts, we are seeking an experienced and organised Contract Administrator to join our expanding administration team.

The Role
We are looking for an experienced administrator with a background in Facilities Management, Property Management, Building Services or Maintenance Contracts.
A key part of this role will be supporting the delivery of large Planned Preventative Maintenance (PPM) contracts, ensuring compliance schedules are maintained, service visits are completed on time and contract documentation is accurately managed.
Working closely with Contract Managers, Engineers and Clients, you will play a vital role in ensuring contractual obligations are met and service standards are maintained.
Key Responsibilities
- Administration and coordination of Planned Preventative Maintenance (PPM) contracts
- Scheduling and monitoring statutory compliance visits and maintenance activities
- Liaising with engineers, subcontractors and suppliers to coordinate works
- Managing client portals and updating contract information
- Monitoring contract performance against service level agreements (SLAs)
- Ensuring service reports, certificates and compliance documentation are received and issued promptly
- Tracking outstanding works and arranging remedial actions
- Assisting with quotation requests and job progression
- Supporting monthly reporting requirements for clients
- Preparing completed jobs for invoicing
- Maintaining accurate records across internal systems and client platforms
- Providing administrative support across reactive maintenance and project works when required
Essential Requirements
- Previous administration experience within Facilities Management, Maintenance, Construction or Building Services
- Experience coordinating Planned Preventative Maintenance programmes
- Strong organisational and time management skills
- Ability to manage multiple workstreams simultaneously
- Excellent communication skills
- High attention to detail
- Strong IT skills including Microsoft Office
- Ability to work independently and as part of a team
Desirable Experience
- Experience working with large multi-site maintenance contracts
- Knowledge of statutory compliance services such as:
- Electrical Testing
- Emergency Lighting
- Fire Alarm Maintenance
- Gas Servicing
- Water Hygiene
- HVAC Maintenance
- Lift Servicing
- Experience using SimPro, E-Works Manager or similar CAFM/job management systems
- Experience working with public sector or property management clients
