What You’ll Be Doing
The Executive & Business Support Officer is responsible for providing high-quality executive assistant, diary management, administrative and business support across Leeds United Foundation. The role provides executive and diary management support to the CEO, other Directors, Heads of Department and Senior Managers when required, alongside wider day-to-day coordination, communication, payroll, finance and meeting administration, office systems, orders and general business support. The role forms part of the Foundation’s Executive Business and Operations Support function and contributes to a more coordinated, efficient and professional support service, helping ensure core administration is organised, responsive, accurate and aligned to Foundation priorities
Key Responsibilities:
Executive and business support
- Provide day-to-day administrative and coordination support to the Chief Executive Team, including diary management, meeting scheduling and document preparation.
- Support effective communication between the Chief Executive Team, Heads of Department, Senior Manager, staff, Trustees, Club colleagues and external stakeholders.
- Prepare correspondence, documents, reports, presentations and briefing materials to a professional standard.
- Research and book business travel, accommodation, venues and meeting logistics in line with Foundation policies and operational requirements.
- Handle confidential information with discretion, professionalism and care.
- Support expense collation and related administration for the CEO and Executive Team in accordance with the expenses policy.
Meeting and administration support
- Coordinate meetings, including room bookings, agendas, papers, refreshments, visitor arrangements and follow-up actions.
- Take notes or minutes for internal meetings as required and support the tracking of actions through to completion.
- Maintain accurate records, filing systems, shared folders, trackers and administrative processes.
- Support Heads of Department and Senior Manager meetings, media meetings, safeguarding meetings and other internal forums as required.
Office, systems and operational support
- Provide general office and business support, including calls, emails, post, stationery, photocopying, scanning, filing and general enquiries.
- Assist with payroll administration by collating timesheets, expenses and relevant information from Chief Executive Team, Heads of Department and Senior Managers by agreed deadlines.
- Support the management of the Business Support inbox, responding to or signposting queries in a timely and professional way.
- Coordinate practical processes including meeting rooms, Foundation tickets, accreditation passes, mobile phone requirements, Amazon orders and minibus bookings.
- Provide relief front-of-house support and support the coordination of visitors, guests and external stakeholders as required.
- Assist with the processing of invoices, purchase orders and petty cash.

Experience
- Experience of providing administrative, executive or business support in a busy office or organisational setting.
- Experience of diary management, meeting coordination, document preparation and maintaining accurate records.
- Experience of handling confidential information and working with senior colleagues or managers.
• Experience of payroll, invoicing and purchase order compliance is desirable. • Experience of governance and minute taking desirable.
- Experience of working in a charity, sport, education, community or not-for-profit environment is desirable. Knowledge & Understanding
- Good understanding of effective administration, office coordination and business support processes.
- Understanding of confidentiality, data protection and the importance of accurate record keeping.
- Understanding of the importance of professional communication and stakeholder relationships
. • Understanding of the importance of effective Executive Support Skills & Abilities • Excellent organisational and planning skills, with the ability to manage multiple tasks and deadlines.
- Strong attention to detail and ability to produce accurate work to a high standard.
- Confident written and verbal communication skills, with a professional and helpful approach.
- Strong IT skills, including Microsoft Office, Outlook, Teams, spreadsheets and shared filing systems.
- Proactive, flexible and solution-focused, with the ability to work independently and as part of a team.
- Able to prioritise effectively, use initiative and remain calm in a busy working environment.

• Good standard of general education, including English and Maths or equivalent experience. • Relevant administration, business support, customer service or office management experience
