The role
This is an office based role at the heart of our service. You will be responsible for building and maintaining staff rotas, scheduling client visits, arranging cover, and handling the administrative tasks that keep care running safely and on time. You will work closely with the Registered Manager and the care team, and confident use of the Care Control Systems is essential.
Key responsibilities
- Build, manage and maintain weekly staff rotas using Care Control, matching the right carers to the right clients.
- Schedule and adjust client visits, responding quickly to changes, absences and short notice cover needs.
- Arrange and confirm agency cover when required, keeping costs and continuity of care in mind.
- Act as a first point of contact for carers and clients on scheduling matters.
- Keep accurate records on Care Control, including visit logs, carer availability and client schedules.
- Support general administration including filing, data entry, correspondence and maintaining staff and client records.
- Help keep compliance records up to date, including training, DBS and right to work records, supporting the team ahead of CQC inspection.
- Flag any rota gaps, late or missed visits and staffing risks to the Registered Manager promptly.
Essential
- Proven experience in rostering, scheduling or care coordination.
- Confident, hands on user of the Care Control system.
- Strong administrative and organisational skills with close attention to detail.
- Calm and effective when handling changes and competing priorities.
- Clear communicator, comfortable speaking with carers, clients and managers.
- Right to work in the UK.
Desirable
- Previous experience in a domiciliary or home care setting.
- Understanding of CQC requirements for domiciliary care.
- Knowledge of electronic call monitoring and safe staffing practices.
