Job Overview
We are seeking a highly organised, proactive, and professional Administration Manager to oversee the remote administrative operations of a busy Psychiatry and Medical Cannabis clinic. This is a fully remote/work-from-home role requiring a motivated individual who can manage clinical administration, patient coordination, compliance processes, and operational tasks efficiently within a fast-paced healthcare environment.
The successful candidate will play a key role in supporting clinicians, managing patient pathways, supervising administrative functions, and ensuring the smooth day-to-day running of the service. The ideal applicant will have previous experience within healthcare, mental health, psychiatry, medical cannabis, or a regulated clinical setting.
This position requires excellent communication skills, strong attention to detail, discretion when handling sensitive patient information, and the ability to work independently while managing multiple priorities remotely.
Duties and Responsibilities
- Oversee and coordinate the daily remote administrative operations of the clinic
- Manage and supervise administrative staff remotely, providing guidance, support, and training where required
- Coordinate patient bookings, clinician diaries, referrals, recalls, and follow-up appointments
- Support the administration of Psychiatry and Medical Cannabis patient pathways from initial enquiry through to ongoing care
- Liaise professionally with patients, psychiatrists, clinicians, pharmacies, GPs, and external healthcare professionals via phone, email, and virtual platforms
- Handle confidential patient information in accordance with GDPR, data protection requirements, and clinic policies
- Assist with medical correspondence including clinic letters, referral letters, prescriptions, MDT documentation, and patient records management
- Maintain accurate digital patient records and ensure all clinical and administrative documentation is completed correctly
- Utilise clinic management systems and QuickBooks for administrative and financial tasks including invoicing and reporting
- Support recruitment administration, onboarding, staff records management, and training coordination
- Ensure compliance with clinic policies, safeguarding procedures, CQC standards, and healthcare regulations
- Organise virtual meetings, prepare agendas, and document minutes where required
- Assist management with audits, governance tasks, reporting, and operational improvement projects
- Respond to patient queries and administrative issues professionally and efficiently
- Maintain effective communication between clinical and non-clinical departments while working remotely
- Ensure high standards of professionalism, confidentiality, and patient care are maintained at all times
Skills and Experience
- Previous experience within healthcare, psychiatry, mental health, medical cannabis, or a clinical environment is highly desirable
- Proven experience in administration, office management, or operational management roles
- Previous remote working experience preferred
- Strong organisational and time management skills with the ability to manage workload independently
- Excellent communication skills, both verbal and written
- Professional, compassionate, and patient-focused approach
- Experience managing or supervising teams remotely
- Strong understanding of GDPR, confidentiality, and healthcare compliance standards
- Excellent administrative and clerical skills with strong attention to detail
- Proficiency in Microsoft Office, remote working systems, and clinic management software
- Experience using QuickBooks or similar accounting software is desirable
- Understanding of safeguarding, incident reporting, and healthcare governance processes is advantageous
- Ability to work under pressure, multitask, and adapt to changing priorities
- Reliable internet connection and suitable home working environment essential
Desirable Experience
- Previous experience working within Psychiatry or Medical Cannabis services
- Familiarity with CQC-regulated healthcare environments
- Understanding of prescription administration processes and patient eligibility pathways
- Experience coordinating multidisciplinary teams (MDT)
- Knowledge of medical terminology and healthcare documentation
