Role Overview
We are seeking a highly organised, proactive and capable Transport & Logistics Administrator to join our busy Transport and Despatch operation based at our Middlewich site.
This is a fast-paced and varied role at the centre of CLD’s daily distribution operation. The successful candidate will provide essential administrative and planning support to the Transport, Warehouse and Despatch teams, helping to ensure customer orders are picked, loaded, dispatched and delivered safely, efficiently and On-Time and In-Full (OTIF).
The role requires someone who is comfortable managing multiple priorities at the same time, responding quickly to changing operational requirements and communicating confidently with drivers, customers, subcontract hauliers, warehouse colleagues and other departments across the business.
You will play a key role in coordinating daily deliveries, preparing driver and warehouse documentation, maintaining accurate transport and fleet records, and ensuring customers and sites are kept fully informed of planned delivery dates and times.
Key Responsibilities

Produce and issue daily warehouse pick lists in line with the agreed transport and despatch plan.

Prepare driver run sheets, delivery notes and all other required transport and delivery paperwork.

Support the planning and organisation of daily driver routes and delivery schedules, using route planning and transport management software.

Book deliveries with customer sites, contractors and site teams, ensuring any access restrictions, booking requirements and delivery instructions are clearly recorded and communicated.

Liaise directly with customers regarding planned delivery dates, delivery times and any changes or delays, providing clear and professional updates.

Maintain regular communication with drivers throughout the working day and assist with operational changes, delays or delivery issues.

Raise, issue and track purchase orders for subcontract hauliers and other third-party transport providers, ensuring costs and supporting documentation are correctly recorded.

Coordinate with subcontract hauliers to confirm collections, delivery schedules, vehicle requirements and customer-specific delivery instructions.

Ensure all Proof of Delivery documents (PODs) are correctly signed, returned, checked and accurately filed against the appropriate customer order.

Follow up promptly on missing or incomplete PODs and resolve any discrepancies.

Maintain accurate and up-to-date fleet maintenance records, including servicing, inspections, MOTs, repairs and other scheduled maintenance activities.

Support the Transport Management team with vehicle availability, maintenance planning and associated administrative records.

Work closely with the Warehouse and Despatch teams to ensure the correct orders are picked, prepared and available in line with the daily transport plan.

Liaise with Planning, Customer Service, Order Processing and other internal departments to resolve delivery queries and maintain accurate customer information.

Maintain accurate records within CLD’s IMS, Transport Management Systems and driver and route planning software.

Support the preparation of transport reports, delivery performance information and other operational data as required.

Assist with general transport compliance administration and ensure all transport and delivery records are accurately maintained and readily available.

Identify administrative improvements that simplify processes, improve information accuracy and support improved OTIF delivery performance.
Provide general administrative support to the Transport and Logistics team as required.
Skills & Experience Required
-
Previous administration experience within a transport, logistics, warehousing, distribution or goods despatch environment is required.
-
Strong organisational skills with the ability to manage multiple priorities and deadlines in a busy operational environment.

High level of IT proficiency and confidence working with IMS, Transport Management Systems, driver management systems and route planning software.

Strong Microsoft Office skills, particularly Outlook, Excel and Word.

Experience preparing transport documentation, delivery paperwork, driver run sheets or warehouse documentation is highly desirable.

Good understanding of transport and distribution processes.

Strong attention to detail and commitment to maintaining accurate records.

Ability to think quickly, solve problems and respond positively to changing operational requirements.

Confident and professional telephone manner.

Clear and effective written and verbal communication skills.

Ability to communicate confidently with customers, drivers, subcontractors and colleagues at all levels.

A proactive, flexible and practical approach to work.

Strong team player who is equally comfortable working independently and using their own initiative.

Geographical knowledge and previous experience of route planning would be advantageous.
Qualifications
-
Essential: GCSEs or equivalent, including English and Mathematics, together with strong written, verbal and numerical skills.

Desirable: Further education or professional qualifications in business administration, logistics, transport or supply chain operations, and previous experience within a manufacturing or construction-products distribution environment.
Working Hours and Location
The role is based full-time at CLD’s Middlewich site, working Monday to Friday, 08:00 to 16:30.
