Job Purpose
The Accounts & Admin Assistant is versatile and detail-oriented, and capable of operating within a small, busy team. This is a unique "hybrid" role where your primary focus will be managing our daily financial and administrative tasks, but you will also be ready to "muck in" and support the warehouse team during peak periods or staff absences. The ideal Accounts & Admin Assistant is as comfortable with spreadsheets and invoices as they are assisting with stock and deliveries.
Key Responsibilities
Finance & Accounting Support
- Sales order processing: process customer orders, generate sales orders and issue invoices.
- AP/AR: Issue customer statements and follow up on outstanding payments (support processing purchase invoices as requested).
- Reconciliations: Perform daily bank reconciliations (Soldo/Expenses) and assist with month-end reporting.
- Data Entry: Ensure all financial data is accurately recorded in our accounting software (e.g. SAP, Sage).
- Expenses: Process staff expenses and maintain petty cash records.
Office Administration
- Customer Service: Act as the first point of contact for telephone and email enquiries.
- Documentation: Maintain digital and physical filing systems, ensuring all records are up to date.
- Ordering: Monitor and order warehouse packing materials, office and kitchen supplies to ensure smooth daily operations.
Warehouse Support (As Required)
- Order Processing: Assist the warehouse team with picking and packing customer orders during busy spells.
- Goods In: Help check incoming deliveries against purchase orders and update inventory systems.
- Safety: Adhere to manual handling guidelines and maintain a clean, safe workspace in both the office and warehouse.
Other
· Support or undertake other tasks or special projects as directed by management.
Qualifications & Requirements
- Experience: Previous experience in an accounts-based role (AAT Level 2+ or equivalent is a plus).
- Software: Proficiency in accounting software and Microsoft Excel.
- Flexibility: A "can-do" attitude and the willingness to transition from desk work to physical warehouse tasks when needed.
- Physical Ability: Must be comfortable with manual handling (lifting up to 20/25kg in line with UK HSE safety guidelines).
Attention to Detail: High level of accuracy in data entry and order fulfilment.
Pay: £26,000.00-£27,000.00 per year
