Salary: £42,000 per annum pro rata (equivalent to £14,000 for the 4-month fixed-term contract)

JOB SPECIFICATION:
An opportunity for an experienced project manager to manage several high-profile international education related events for a 4 month FTC. The ideal candidate will have been working in a fast-paced environment managing multiple projects and customers.
This role covers two specific events:
South America Counsellor Workshop:
You will oversee and manage the client side and operational logistics of the South America Counsellor Workshop taking place in Bogota, Colombia on 30 September to 2 October 2026
Global Scholarship Forum:
You will oversee and manage the delegate side and support the operational logistics of the Global Scholarship Forum taking place in Sesimbra, Portugal on 5-6 November 2026
Key Responsibilities:
- Strategic Planning: Assist in strategic planning of the events to meet business goals and budgets
- Event Management: Plan, coordinate, and execute these two large-scale international events, ensuring seamless logistics, budget adherence, and high-quality delivery.
- Stakeholder Management: Collaborate with internal teams, external partners, vendors, and sponsors to establish strong relationships and ensure successful collaboration throughout the events lifecycles.
- Budgeting and Financial Oversight: Manage event budgets, negotiate contracts as required, monitor expenses, and optimise financial resources to achieve cost-effectiveness and maximise return on investment.
- Risk Management: Identify potential risks and develop contingency plans to mitigate them, including health and safety considerations, crisis management, and security protocols.
- Post-Event Evaluation: Conduct thorough evaluations of events, gathering feedback from attendees, analysing metrics, and identifying areas for improvement. Use insights to refine future event strategies.
- Work ethic: Ability to work under pressure, manage multiple projects simultaneously, and meet strict deadlines.
Operations and logistics
- Liaising and managing relationships with venues, contractors and local suppliers.
- Helping to compile the exhibitor manuals/handbooks and assist clients/delegates attending our events.
- Ensuring correct use of the Marcom booking appointment system, including setting up clients/delegates, offering support and training, chasing users and ensuring optimum user experience
- Keeping content up to date on the event websites
- Sending out invitations to delegates and managing the application workflow including chasing travel forms, passport/visa documentation, and travel confirmations
- Liaising with the Travel Consultant regarding delegate/counsellor travel arrangements
- Managing the hotel rooming lists for attendees
- Managing the client exhibitor list, including the creation of sales material as appropriate
- Liaising and managing our relationships with international clients, exhibitors, sponsors and partners.
- Assisting all clients with any participation issues and problem solving
- Receiving invoices from suppliers and arrangement with finance team for payment
- Managing an event budget and updating actual costs
IMPORTANT INFORMATION / REQUIREMENTS:
- Strong written and spoken English
- Robust skills in Microsoft Office especially Word and Excel as well as Google Sheets
- Minimum 4 years’ experience in fast paced student/event organisation
- Organised, committed, responsible, detail-oriented and self-disciplined
