Role Overview
Whippendell Marine is looking for a proactive and personable Part Time Office Administrator to be the welcoming face and operational backbone of our office. This role combines front-of-house duties with hands-on coordination of office logistics, supplier relationships, and internal systems. The ideal candidate is organised, calm under pressure, and comfortable juggling multiple priorities in a fast-paced environment.
The role will be office based and be Monday to Thursday, 09:30 to 15:00, with occasional Fridays as required. These are suggested hours and we can be flexible to suit the right candidate.
Key Responsibilities
Reception and Visitor Management Answer and direct incoming phone calls promptly and professionally. Greet visitors, clients, and guests on arrival, ensuring they feel welcome and are directed to the right person or meeting room. Maintain a tidy, presentable reception and meeting room area at all times.
Hospitality and Catering Purchase and collect food and serve lunches and refreshments for meetings, client visits, and team events. Manage catering orders, dietary requirements, and supplier relationships for food and beverage services. Keep kitchen and meeting room supplies stocked and organised.
Facilities and Tradespeople Coordination Act as the main point of contact for tradespeople and contractors (e.g. cleaners, maintenance, IT engineers), scheduling visits and ensuring work is completed to standard. Liaise with external suppliers on facilities issues, repairs, and routine maintenance, including ensuring scheduled work is performed on time.
Systems and Administration Keep company systems up to date, including visitor logs, supplier records, booking calendars, and internal databases. Process and file documentation accurately, ensuring information is current and accessible. Support other administrative tasks such as ordering office supplies, managing post and deliveries, and assisting with basic record-keeping.
General Office Support Provide ad hoc administrative support to other departments as needed. Help maintain a professional, organised, and welcoming office environment.
Skills and Experience
Previous experience in an office administration, front-of-house, or reception role is preferred. Strong organisational skills with the ability to manage multiple tasks and shifting priorities. Excellent verbal and written communication skills, with a friendly and professional manner. Confident using Microsoft Office Suite and willingness to learn new internal systems. A practical, can-do attitude and comfort liaising with a wide range of people, from clients to contractors. Driving licence and access to own vehicle are essential.

You will be required to complete a Baseline Personnel Security Standard screening.
