Hours: Term time only (+5 Inset days and one week) 37 hours per week 8am to 4pm (1/2-hour lunch, unpaid)

Position Summary:
The Administrative Coordinator for Special Education Needs and Disabilities (SEND) provides a high‑quality, confidential, and timely service to staff, students, and parents, supporting the smooth and effective operation of the school’s inclusion team.
This role encompasses a wide range of responsibilities, including the management of student transitions, facilitating exam access arrangements and overseeing the scheduling and organising of Annual Reviews for EHCP students. The role also involves maintaining student records, providing administrative support, and fostering effective communication within the department.
Key Responsibilities:
Transition Coordination:
- Communicate with feeder schools regarding upcoming students.
- Engage in communication with educators at post-16 institutions regarding student transfers.
- Liaise with other school teams regarding new students' SEND needs.
- Communicate with parents of SEND students regarding transition events.
- Create student profiles based on transition day information and primary school records.
JCQ Exam Access Arrangements:
- Collaborate closely with qualified assessors and Exam Access coordinator to support procedures, systems, and paperwork (training provided as needed).
Annual Reviews for EHCP Students:
- Coordinate Annual Reviews for EHCP students in KS3 and KS4, involving various stakeholders such as parents, outside agencies, county representatives, and the Assistant Headteacher.
- Manage meeting logistics, including room bookings, preparation, and distribution of reports.
- Gather key transition information and feedback from teachers.
- Record meeting minutes and update Annual Review Reports as needed.
General Administrative Tasks:
- Maintain and update student records and documentation, including student passports.
- Liaise with staff to ensure students' needs are met.
- Support school policies and rules governing students.
- Provide administrative support as required.
- Handle telephone and reception duties, welcoming visitors and addressing inquiries.
- Manage the Assistant Headteacher’s diary, including room bookings and preparation.
- Provide admin support for the whole SLT, as directed.
- Utilise various IT programs for tasks and maintain an efficient filing system.
- Operate photocopying equipment and distribute materials.
- Create student resources as necessary.
- Assist with attendance tracking and prepare outgoing/couriered mail.
- Support students when needed.
- Complete department stationery orders.
- Distribute student letters.
- Collaborate with parents, healthcare professionals, and outside agencies.
- Prepare new student files and organize student reports/letters.
- Coordinate internal and external assessments related to SEND.
- Maintain up-to-date lists and registers for interventions.
- Assist with recruitment processes for Learning Assistants.
- Prepare for school events such as Open Evenings, tours, and taster days.
- Arrange college visits.
- Take minutes of meetings and fulfil other reasonable requests from the Assistant Headteacher.
- Demonstrate the ability to work in a fast-paced office environment, manage multiple tasks, prioritize effectively, and maintain professionalism and approachability.
