Job Summary: As a Dental Lab Administrative Assistant, you will play a crucial role in supporting the smooth operations of the dental laboratory by handling administrative tasks and providing assistance to the dental lab team. Key Responsibilities:
- Administrative Support:
- Perform general clerical duties, including data entry, filing, photocopying, and organizing documents.
- Answer and direct phone calls, emails, and inquiries from clients, suppliers, and team members.
- Maintain organized and up-to-date filing systems for both physical and digital records.
- Communication Coordination:
- Facilitate communication between the dental lab team, clients, and other relevant parties.
- Assist in scheduling appointments, meetings, and conference calls.
- Ensure timely dissemination of information within the dental lab, fostering effective teamwork.
- Order Processing:
- Assist in processing orders, tracking inventory, and coordinating with suppliers.
- Manage order documentation, including purchase orders, invoices, and shipment tracking.
- Client Interaction:
- Handle client inquiries, providing information about services, pricing, and order status.
- Maintain positive client relationships through effective communication and customer service.
- Quality Control Assistance:
- Collaborate with the dental lab team to ensure quality control procedures are followed.
- Assist in maintaining records related to quality assurance and compliance.
- Appointment Scheduling:
- Coordinate and schedule appointments for clients, technicians, and other relevant stakeholders.
- Update and manage appointment calendars to ensure efficient use of time and resources.
- Billing and Invoicing:
- Assist in billing and invoicing processes, ensuring accuracy and timely submission.
- Work closely with the finance department to reconcile accounts and resolve discrepancies.

Qualifications and Skills:
