We are looking for a friendly, organised, and professional Dental Receptionist & Client Coordinator to join our team. You will be the first point of contact for our patients, setting the tone for a positive and comfortable experience from the moment they walk through the door.
About the Role
This is more than just answering phones and booking appointments. You will play a vital role in the patient journey, supporting them from their first enquiry through to the completion of their treatment. Working closely with the Practice Manager and the clinical team, you will help ensure the practice runs smoothly, efficiently, and profitably.
Key Responsibilities:
- Patient Care: Greet and welcome patients warmly, manage the patient lounge and reception area, and keep patients informed of any delays.
- Appointment Management: Schedule patient appointments efficiently, prepare patient records and day sheets for the clinical team, and send appointment reminders.
- Communication: Handle a high volume of telephone and face-to-face enquiries in a positive and professional manner, taking accurate notes and following up as required.
- Administration: Maintain accurate patient records, manage laboratory work logs, and carry out general office duties to support the team.
- Financial Duties: Process patient payments, manage invoices and cash, pursue outstanding debts in line with policy, and promote the sale of dental sundries.
- Stock & Facilities: Monitor inventory levels, place orders for supplies, and carry out regular checks of the building and office condition.
- Team Support: Liaise with the Practice Manager on administrative matters, attend team meetings, and support the practice in achieving its business goals.
Who We Are Looking For
We welcome applications from candidates with proven dental industry experience. If you are familiar with dental software, GDC guidelines, and the rhythm of a busy practice, we would love to hear from you.
However, we also know that a great receptionist is built on great people skills.
If you do not have dental experience but possess outstanding customer service and administrative skills from a fast-paced environment such as hotels, retail, hospitality, medical administration, or executive support, we strongly encourage you to apply. We can teach you the dental software and terminology; we cannot teach personality and a genuine passion for helping people.
Essential Skills & Attributes:
- Exceptional Communication: Friendly, articulate, and able to explain information clearly to patients.
- Organisation: Ability to multitask, prioritise, and maintain accurate records in a busy environment.
- Empathy: A calm and patient manner, particularly when dealing with anxious patients or sensitive situations.
- IT Literate: Comfortable using computers, learning new software, and maintaining accurate digital records.
- Professionalism: Reliable, punctual, well-presented, and able to handle financial transactions with integrity.
- Team Player: Willing to support colleagues and contribute to a positive team culture.
Desirable Skills (Training can be provided):
- Experience with dental practice management software (e.g., SOE, Exact, R4).
- Knowledge of GDC guidelines and NHS/private dental regulations.
- Previous experience in a cash handling or finance administration role.

Pay: £26,000.00-£31,200.00 per year
