Overview
We are seeking a dedicated Temporary HR & Administration Officer to cover maternity leave from July 2026 to May 2027. This role offers an excellent opportunity to work within a dynamic organisation, supporting human resources and administrative functions. The successful candidate will play a vital part in maintaining efficient HR processes and providing administrative support across two Children's Homes. Prior experience in HR systems and administrative tasks is essential, alongside strong communication skills and organisational abilities. This opportunity is ideal for someone looking to develop HR and administrative skills and knowledge in HR systems within a social care setting.
KEY RESPONSIBILITIES
Operational Administration
- Oversee daily administrative functions across the homes
- Maintain accurate and up-to-date administrative systems, trackers, and spreadsheets
- Ensure all employee personnel files and compliance documentation are complete and up to date
- Produce reports, presentations, and data as required by senior management
- Monitor and manage key organisational email inboxes, ensuring timely identification of important correspondence and escalation/communication to senior management where required
- Coordinate, attend, and minute key meetings (e.g. SMT and Governance meetings), and distribute actions
- Schedule and organise meetings including staff meetings, senior meetings, and clinical supervision sessions using Microsoft Teams
- Order supplies and resources for the home as required
- Ensure administrative systems meet regulatory and organisational standards
- Carry out additional administrative, operational, and compliance-related duties as reasonably requested by the Directors
Finance & Payroll Support
- Prepare payroll documentation and carry out payroll processing for August and September 2026
- Thereafter, support monthly payroll processes and ensure all required checks and documentation are completed
- Raise and issue invoices to Local Authorities, universities, and other stakeholders
- Set up and manage payment processes for new placements (residents and students)
- Monitor, track, and reconcile payments using spreadsheets
- Chase outstanding payments where required
HR Coordination & Compliance
- Coordinate end-to-end recruitment processes including:
- Issuing and reviewing application forms
- Arranging and coordinating interviews
- Conducting reference and telephone checks
- Completing DBS checks and Update Service checks
- Carrying out Right to Work checks
- Issuing offer letters, contracts, and onboarding documentation
- Maintain and monitor HR compliance systems including:
- Personnel file audits
- DBS monitoring
- Right to Work checks
- Register and monitor staff fingerprint systems
- Keep all HR and administrative policies up to date in line with current legislation and best practice, and ensure updates are communicated to staff
Employee Lifecycle Management
- Arrange and manage staff appraisal processes
- Coordinate and monitor probation reviews to ensure completion within required timeframes
- Set up and manage clinical supervision schedules
- Monitor Bright HR systems to ensure:
- Return to Work interviews are completed
- Absence is managed in line with policy
- Ensure compliance with absence management procedures, including:
- Chasing required documentation (e.g. self-certification forms, fit notes)
- Supporting SSP processing requirements
HR Casework Support
- Provide administrative support for disciplinary and performance processes
- Arrange meetings, prepare documentation, and liaise with external HR advisors (e.g. Peninsula) as required
Note: The post-holder will not independently lead complex HR cases unless delegated.
External Liaison & Stakeholder Management
- Act as a key point of contact for external stakeholders including Local Authorities, universities, accountants, IT providers, and HR advisors
- Update relevant external bodies and systems as required
Student Placement Coordination
- Coordinate student placements including:
- Interviewing prospective students
- Managing onboarding processes
- Liaising with universities
- Issuing invoices at the end of placements
Pay: £14.50-£16.50 per hour
