Role Overview
We are seeking an enthusiastic, organised, and people-focused Front of House team member who embodies our core values and plays a key role in delivering a safe, welcoming, and high-performing environment.
As the first point of contact for all visitors, tenants, and stakeholders, you will take ownership of the customer journey, demonstrate integrity in all interactions, build strong relationships through a people-centred approach, and contribute to continuous innovation, while upholding the highest standards of safety and sustainability.
This is a lone-working role, supported by the Facilities Manager and wider team, requiring initiative, resilience, and a proactive mindset.
Purpose of the Role
- Deliver a consistently high-quality Front of House reception and concierge service
- Represent FIFM professionally, creating a positive and lasting first impression
- Ensure the building operates smoothly, safely, and efficiently
- Act as a key link between tenants, visitors, contractors, and the wider business
Core Responsibilities
Ownership
- Take full responsibility for the Front of House function, ensuring all visitors receive a seamless experience from arrival to departure
- Act as the first point of contact, confidently handling enquiries, calls, and requests with professionalism
- Proactively manage tasks such as visitor coordination, post handling, and reception presentation
- Work independently while maintaining high standards and accountability
Integrity
- Maintain accurate records and ensure all administrative, health & safety, and compliance information is up to date and correctly displayed
- Operate access control systems responsibly, ensuring the safety and security of the building
- Handle confidential information with discretion and professionalism
- Deliver a reliable, honest, and consistent service at all times
People-Centred Culture
- Build positive relationships with tenants, visitors, contractors, and colleagues
- Provide a friendly, approachable, and welcoming experience for everyone entering the building
- Communicate clearly and effectively, ensuring all stakeholders feel supported and informed
- Collaborate with the Facilities Team and wider business to deliver excellent service
Innovation
- Look for smarter, more efficient ways to manage Front of House processes
- Embrace new systems, technologies, and ways of working
- Maintain an organised, streamlined reception area that reflects operational excellence

Safety and Sustainability
- Support daily building checks and health & safety compliance requirements
- Assist in emergency procedures, including alarms and evacuation coordination
- Ensure the reception and communal areas are clean, safe, and well maintained
- Promote a safe, secure, and well-managed environment for all building users
Key Duties
- Meet and greet all visitors with a professional and welcoming manner
- Manage visitor access, including CCTV and intercom systems
- Notify tenants of arrivals and direct visitors appropriately
- Handle incoming calls and enquiries efficiently
- Receive and distribute mail and deliveries
- Support building operations, administration, and compliance tasks
- Maintain a clean, organised, and professional reception area
- Assist with health & safety checks and emergency procedures
- Support management with any reasonable operational requests
