HGG Properties Ltd is a fast-growing property investment and management company with rental homes across North West London. We are a small, professional team focused on keeping our tenants happy and our operations running smoothly in a fast-paced environment.
The Role
We need an organised, hands-on person to take care of the day-to-day running of our long-term lets and a small number of short-term properties. This is a busy, varied role where you will be the main point of contact for tenants and guests, while also helping us grow by handling new leads and viewings.
We use modern digital tools to keep things efficient. Because we are growing, these systems change and evolve, so you need to be comfortable adapting to new tech and happy to tell us what’s working and what isn't.
Note: Since this is a remote role, you must have a quiet, private space at home where you can take frequent phone calls professionally and focus on your work without distractions.
Daily Responsibilities
- Lettings & Marketing: Follow up on new tenant leads, talk to business partners, and arrange and coordinate viewings. You'll need to actively upsell the features and benefits of our available units to prospective tenants.
- Tenant & Guest Relations: Deal with daily enquiries from long-term tenants and short-term guests. You must have strong mediation skills to handle complaints or roommate disputes calmly and professionally.
- Turnovers & Compliance: Coordinate directly with our cleaning teams to ensure quick, seamless turnarounds between short-term bookings. You will also use the company car to visit properties for inspections and hands-on safety checks, including testing fire panels and CO detectors.
- Rent & Arrears: Manage regular rent collection and follow up on overdue payments in a polite but firm manner.
- Admin & Support: Help the team and management with general office duties like filing, managing calendars, scheduling appointments, writing correspondence, and putting together basic reports, etc.
- Maintenance: Prioritise repair requests from tenants, liaise with our maintenance team, and communicate with tenants about the work.
What we are looking for:
- A clean UK Driving Licence (no points) and confident driving experience. This is essential as you'll be using the company car around North West London.
- 1 to 3 years of experience in UK property management, residential lettings, or fast-paced hospitality/short-let management.
- Strong administrative skills—you should be great at managing diaries, organizing files, and handling emails professionally.
- A solid problem-solving mindset and the ability to negotiate or de-escalate tricky situations with tenants.
- Excellent written and spoken English, with a diplomatic but confident communication style.
- Basic knowledge of property safety testing (like fire panels or smoke alarms) is a massive plus, but we can train you.
- Proficiency with property management software, ChatGPT / Gemini, and standard MS Office/Google Workspace tools.
Schedule
- Working hours are Monday to Friday (09:30 - 18:00) and a half day every other Saturday. We are happy to speak with candidates who may need some flexibility with working hours
