We have an exciting opportunity for an enthusiastic individual to join our Business Support Services team on a fixed-term (Maternity Cover) basis. Fixed-term until May 2027 (part-time, 25 hours per week).
We are looking for applicants who are dedicated to providing a high-quality patient and customer centric service and are happy to share their knowledge by working with their team.
As a Business Support Administrator, you will be responsible for supporting all three of our sites with their crucial paperwork which is required for us to be able to maintain our UKAS accreditation. Your duties will include, but are not limited to;
Monitoring and dealing with requests in multiple inboxes.
Providing information and non-technical advice to all users of the Pathology service.
To liaise with laboratory staff as required.
Scheduling meetings and taking minutes.
To create room bookings for both internal and external parties.
For the provision of food and refreshments upon request.
Inputting data from reports received from external laboratories.

To provide administrative support for designated department(s)
Act as named contact for administration tasks
Take minutes at meetings and distribute as appropriate
Utilise the laboratory LIMS, Q-Pulse quality monitoring system and other application software according to authorised protocols including assisting in computer data entry
Participate in projects as directed
Communicate with department managers regarding availability and back-up support
Provide training to other Business Support Colleagues
Customer Support
To be an ambassador for SYNLAB UK and SPS when communicating with clients – ensuring that SYNLAB SPS customer service standards are maintained at all times.
On a rotational Basis participate in:
o SPS Admin Mailbox
o Andrology Clinics
Provide information and non-technical advice to all users of the pathology service
Responding to queries from organisations which may involve communicating results to clinical members of staff
To be responsible for monitoring the generic email address associated with ‘Add-on’ requests from GP Surgeries and ensuring that these requests are actioned in a timely manner, or if associated with out of date sample to relay the correct procedures to the customer
To liaise with laboratory staff as required.
Providing a point of contact for all incoming telephone communications, this may include diverting calls and enquiries as appropriate to members of staff within the Hub or redirecting clients to the appropriate Trust Partner department.
Communicate efficiently, courteously and with clarity at all times, whether face to face, by telephone or electronic methods referring enquiries to other staff where appropriate. Matters being communicated may include test results.
Provide general office support for the laboratory
Provide support and cover for colleagues during periods of absence
Be able to provide support to all areas of the laboratory
Provide professional front of house and customer service support to all users of the laboratory including engineers and visitors
Provide information and non-technical/clinical advice to users of the pathology service
Monitor SPS Admin mailbox and action as appropriate
Monitor meeting room calendars and manage any duplicate bookings
Travel, accommodation and catering bookings
Support all office administration duties, including answering telephones, drafting correspondence, taking messages, booking meetings
Provide general advice to users of the service
Report all incidents and adverse events to senior staff
Attend and participate positively in laboratory and other meetings as directed by Laboratory managers
Participate in department audits

Report all incidents and adverse events to managers and assist in the investigations of any incidents
Ensure that the equipment within area of work is maintained and operated as per SOP’s
