Administrative Assistant

About the Role
We are seeking a highly organised and professional Administrative Assistant to join our team. The successful candidate will play a key role in supporting daily office operations, providing excellent customer service, and ensuring administrative processes run smoothly. This position is ideal for someone who is confident on the phone, has strong communication skills, and can manage multiple tasks in a fast-paced environment.
Key Responsibilities
- Book and coordinate deliveries with customers, suppliers, and transport providers.
- Answer customer enquiries via telephone and email in a professional and timely manner.
- Manage incoming calls with excellent phone etiquette and direct enquiries to the appropriate team members.
- Organise and maintain files, records, and documentation in both physical and digital formats.
- Perform data entry tasks accurately using Microsoft Officeand other business systems.
- Support scheduling and calendar management for team members, meetings, and appointments.
- Prepare correspondence, reports, presentations, and other administrative documents as required.
- Handle general office duties including photocopying, scanning, filing, and mailing.
- Assist with invoicing, billing, and basic bookkeeping tasks where required.
- Maintain a tidy, organised, and professional office environment.
- Provide general administrative support to management and colleagues as needed.
Skills & ExperienceEssential:
- Previous experience in an administrative, office support, or customer service role.
- Excellent verbal and written communication skills.
- Comfortable and confident speaking on the phone.
- Strong organisational skills with excellent attention to detail.
- Proficiency in Microsoft Office (Word, Excel, Outlook).
- Experience using Google Workspace (Gmail, Docs, Sheets, Calendar).
- Ability to prioritise tasks and work independently.
- Professional, friendly, and customer-focused approach.
Desirable:
- Experience working in a logistics, transport, or distribution environment.
