Evening Front of House Receptionist (Part-Time)

We are one of London's leading Sports and Remedial Massage Clinics, and we're looking for an exceptional Evening Front of House Receptionist to be the welcoming face of our clinic. This isn't just an admin role as you'll play a key part in creating an outstanding client experience and ensuring the clinic runs smoothly throughout our busy evening sessions.
About the Role
You'll work closely with our Operations Manager and therapy team to ensure every client receives a professional, friendly and seamless experience. From welcoming clients and managing bookings to supporting therapists and preparing the clinic for the following day, your contribution will make a real difference.
What You'll Be Doing:
Client Experience
- Welcoming clients warmly upon arrival and making them feel at ease, including offering refreshments
- Answering phone and email enquiries professionally and logging them accurately
- Sending appointment reminders and follow-up communications to clients
- Handling cancellations, late arrivals and no-shows efficiently, following clinic processes
- Sending receipts, gift vouchers and welcome emails to new clients
Bookings & Administration
- Managing appointments, amendments and waiting lists using our MindBodyOnline (MBO) booking system
- Processing payments and checking clients in and out via MBO
- Maintaining and updating the client database
- Ensuring administrative tasks and filing are completed promptly and accurately
Clinic Upkeep
- Keeping reception, therapy rooms, toilets and all communal areas clean, tidy and well presented throughout the evening
- Closing down the clinic at the end of the day, ensuring all areas are clean, organised and ready for the following morning
- Carrying out end-of-day cleaning duties, including sanitising high-touch surfaces and replenishing consumables where required
- Managing laundry and ensuring towels are folded and ready for therapists
- Restocking reception supplies, refreshments, clinic consumables and marketing materials
- Emptying bins and completing general housekeeping duties
- Supporting the wider team with ad-hoc tasks to ensure the clinic runs efficiently
What We're Looking For
You don't need to tick every box, but the following will help you succeed:
- A natural people person with excellent communication skills, someone warm, approachable and professional in person, over the phone and via email
- Excellent attention to detail with strong organisational and multitasking skills
- A proactive, can-do attitude with the confidence to use your initiative
- Professionalism and discretion when handling sensitive client information
- Comfortable working independently while being a supportive team player
- Confident using IT systems, including email, Microsoft Word and Excel
- Experience in a customer-facing or reception role is desirable but not essential
- Education: GCSE standard or above (English essential), or equivalent demonstrable communication ability
The Details
This is a permanent, part-time position (12 hours per week) with the following working pattern:
- Monday: 17:15 – 21:15
- Tuesday: 17:15 – 21:15
- Wednesday: 17:15 – 21:15
There may also be opportunities to take on additional hours to provide holiday and sickness cover.
Starting rate: £13.00 per hour.
