We are looking for an enthusiastic, organised person to join our friendly reception team.
We are offering a permanent part time position 21 1/4 hrs per week working:
Monday - available for adhoc cover
Tuesday - available for adhoc cover
Wednesday - 13.00 - 18.45 (5.75 hrs)
Thursday - 08.00 - 18.45 (10.75 hrs)
Friday 14.00 - 18.45 (4.75 hrs)
Successful candidate must be available for ad-hoc pre-planned ability to cover for colleagues when on leave.
The role will include patient contact, including face to face, online, and on the phone, directing patients to services, plus support to clinical staff and the practice manager. Our reception roles are varied and interesting and applicants should be self- motivated and dedicated to providing excellent customer service.
Salary negotiable according to experience and skills with full access to the NHS Pension scheme.
Requirements
The ideal candidate will need to be computer literate and be able to work in a demanding environment under pressure, be able to multi-task, and be comfortable working in a team or on their own when required. The candidate should have a polite empathetic manner and be able to deal with difficult situations and queries with compassion and understanding.
The applicant should have previous experience of work in GP practice or similar (full training will be provided).
Flexible working is essential to provide additional hours when required to cover staff holidays, sickness and absences.
Organisation/About Us
Willenhall Oak Medical Centre is committed to providing high quality safe patient care, within a pleasant and friendly workplace. We are also a training practice, on a single site, serving over 4800 patients.
The team consists of 4 GP’s, 1 practice nurse, HCA, 5 receptionists, 1 secretary and a practice manager with other clinicians working on site.
We are a relatively small team and all staff are required to support the practice and the patients we care for. This means some roles in the practice are inevitably shared, regardless of the role. We look to support each other in a safe effective way and training will always be provided where required in particular administrative duties.
Responsibilities
The duties and responsibilities to be undertaken by the postholder are briefly described below. The division of daily work between these areas will change from day to day, and the postholder will be expected to cover and maintain skills in all these areas.
Front Desk and Telephone services
- acting effectively as a first point of contact, to recognize people’s needs for alternative methods of communication and respond accordingly. To greet, assist and direct patients and visitors in accessing appropriate services or team members.
- To process and triage telephone calls within a busy, pressurised environment; to provide information on services available and direct callers appropriately, responding to queries, as required.
- To make telephone calls, send text messages to patients to book appointments, to request or disseminate information.
- Monitor the waiting room
Administration
- co-ordinate appointments system
- To process online consultation requests and incoming emails to reception team and responding in a timely manner
- To be responsible for generating repeat prescriptions, within the guidelines of practice repeat prescribing policy
- To register new patients, to update patient personal data in records and validate patient details.
- To scan, file and process patient letters received from external sources onto the clinical computer system in line with practice procedures
- To be responsible for opening/ ensuring the building is secure before leaving the premises
- Process new registrations and filing
Clinical Support
- To prepare consulting rooms, maintain administrative supplies
- To assist clinicians with call and recall programmes.
- To chaperone clinicians as requested
- Administrative or patient facing work required to support, including but not limited to, follow up of test result actions, completion of forms, accessing members of health care teams or support services for clinicians
