As our services continue to expand, we are seeking an organised and proactive Office Administrator to support the smooth running of our office and care operations.
Role Overview
The Office Administrator plays a key role in supporting the Registered Manager and wider care team by ensuring efficient administrative processes, accurate record-keeping, and effective communication. This role is essential to maintaining compliance with CQC requirements and supporting the delivery of safe, well-organised care services.
Key Responsibilities Administration & Office Support
- Provide day-to-day administrative support to the Registered Manager and care team
- Answer telephone calls, emails, and enquiries professionally and efficiently
- Maintain accurate electronic and paper filing systems
- Prepare letters, reports, and internal documentation
- Schedule and roster client care calls using Nourish and CM2000, ensuring accurate allocation of visits and timely updates to care schedules.
- Liaise with care staff and clients to manage rota changes and ensure continuity of care.
- Maintain accurate records and update client and staff information within the system as required.
- Proficient in using Microsoft Office 365 applications, including Excel, Word, Outlook, and Teams, to support data entry, reporting, and day-to-day administrative functions.
- Manage and maintain electronic records, ensuring accurate data input and compliance with organisational requirements.
- Monitor call compliance, care's logins, attendance, and visit completion through CM2000 and related systems, ensuring any discrepancies are identified and addressed promptly.
- Produce and maintain spreadsheets and reports to support operational performance and compliance monitoring.
- Experienced in maintaining high levels of accuracy and confidentiality when handling client and staff information.
Care & Compliance Support
- Maintain up-to-date client and staff records in line with CQC standards
- Support onboarding documentation for new staff (DBS, Right to Work, training records
- Support audits, inspections, and compliance checks
Scheduling & Coordination
- Support rota management and staff scheduling as required
- Log sickness, holidays, and staff availability
- Communicate rota updates and changes to Care & Support Workers and clients
HR & Recruitment Administration
- Support recruitment administration, including interview coordination
- Maintain staff training matrices and compliance trackers
- Assist with induction paperwork and staff personnel files
- Support payroll preparation (timesheets, hours worked, mileage where applicable)
General Duties
- Order office supplies and manage stock
- Maintain confidentiality and data protection at all times (GDPR)
- Follow safeguarding policies and company procedures
- Support continuous improvement within the office
Essential Requirements
- Previous experience in an administrative or office support role in domiciliary care agency
- Strong organisational and time-management skills
- Excellent written and verbal communication skills
- Competent in Microsoft Office (Word, Excel, Outlook)
- Ability to work independently and as part of a team
- Right to work in the UK
Desirable
- Experience working within a domiciliary care agency or health & social care setting
- Knowledge of CQC standards and compliance
- NVQ Level 2 or 3 in Business Administration or Health & Social Care
- Experience using care management or rostering software
