PURPOSE OF ROLE:
To support the Operational Manager in ensuring the delivery of service to customers on time and on budget whilst increasing customer satisfaction levels and building loyalty. To effectively lead and manage a team of Supervisors and Cleaners across multiple sites, ensuring customers’ specifications are met, delivering cleaning services through safe and environmentally conscious methods.
KEY ACCOUNTABILITIES:
Contract Performance, Cleaning Standards and Customer Loyalty
- Coordinate and monitor the delivery of cleaning services, ensuring that it meets contract and/or site specifications, being the key point of contact for your region’s contracts and regularly communicating / liaising with the customer and your teams, ensuring a great service level is delivered and any issues are dealt with promptly and efficiently
- Regularly coordinate and attend client site visits, inspections, periodic activity plans and audits, communicating the outcomes to clients and Operational Manager, making suggestions / changes that will improve relationships and the service delivery for the customer and colleagues involved
- Monitor, record and resolve customer complaints, looking at root cause analysis to prevent the reoccurrence of issues. Communicate findings and resolution (and any process changes) to the Operational Manager, relevant teams and customer
- Identify opportunities to the Operational Manager for profitable growth and development of the service offering to existing sites, and any new opportunities arising, supporting with the mobilisation programmes for new business
- Regularly visit sites to build relations with the teams and the customers, and to monitor the customer’s satisfaction levels, Health and Safety practices, Quality Assurance documentation and the quality of the cleaning provided
- Implement and support where new initiatives have been identified to improve the outcome of the cleaning to the customer, be it enhanced standards or a positive financial gain
- Identify areas where improvements can be made to improve the service levels and control costs
- Support the Operational Manager with the management of costs and budgets; understanding fluctuations and taking steps to deal with them accordingly
- Monitor and advise on material and consumable usage, correct use of approved suppliers for the required products / ingredients and ordering stock, equipment and uniforms as and when required
- Cover cleaning duties as and when required
- Collate and produce monthly statistics and reports for internal information and client contract meetings, understanding and monitoring monthly business information and how the sites are performing
- Complete and maintain relevant records (e.g., Quality Assurance documentation; Health & Safety records; training logs; etc.) accurately and on time
- Work with colleagues from within Orian, Orian Property Services and Cumbria Waste Group to promote all the service offerings from within the group
Managing/Leading a Team
- Build strong relationships with your team/colleagues and your customers
- Manage the supervisors, and teams (where there is no local Supervisor), ensuring work is completed to an agreed schedule and to required standards
- Recruit, induct, train and advise teams on how to safely deliver high quality cleaning and soft FM services to the standards identified in the site specifications, considering all relevant legislation and regulations (e.g., COSHH)
- Supervise the sites, ensuring service is completed within the agreed schedules and to required standards/specifications
- Be the point of contact for your supervisors and cleaners with any queries, dealing with or referring to the correct person within the organisation where appropriate
- Work with the Operational Manager and HR to support disciplinaries and/or grievances
- Manage, complete and process relevant HR/Payroll information and documentation for your team (for example; attendance/absence, vacancies, timesheet approvals, appraisals etc),
- Work closely with HR to ensure smooth TUPE transfers and onboarding of new colleagues
Health, Safety and Environment
- Act responsibly in relation to all matters which may affect the Health and Safety of yourselves and others whilst on Company premises, customers’ premises and travelling between sites, and to adhere to safety regulations at all times
- Observe all safety procedures and instructions and assist in maintaining a safe workplace and reporting any accidents, hazards, near misses, damages or defects to tools and equipment to the appropriate person, understanding relevant Health & Safety and Environmental standards
- Wear appropriate protective equipment (PPE) and use any safety devices provided by the company at the relevant times
- Investigate any incidents or near-misses, notifying the Health and Safety team as appropriate
- Complete and record site checks and audits, toolbox talks and job safety monitoring as required
- Support with training and advising the team on ways in which we can avoid/ reduce accidents and to ensure safe working practices and procedures and encourage a positive and proactive Health and Safety culture
