Job Purpose
To role is responsible for the day to day supervision of drivers and planners, ensuring that we provide service excellence to our customers, against a pre-defined set of business KPI’s. This role will work alongside the Head of Operations to support the site’s operational, safety, service and legal compliance performance.
** The ideal candidate would hold a valid CPC in National Road Haulage, although this is not essential.
Key Responsibilities
- Provide leadership, give work instructions and monitor the performance of the traffic dispatcher team i.e. Review of Depot KPI’s- Service, Safety and Profitability.
- Operationally manages the day to day shift operations at the depot including driver supervision and ensures vehicle availability through close working relationships with fleet management.
- Manage, motivate, train and develop team as required.
- Deal effectively with underperformance, implementing disciplinary procedures as appropriate
- Absence management, e.g. conduct return to work interviews.
- Manages the planning process for mobilisation of new work and tactical re-routes.
- Manage the seasonal challenges of Bank holidays and Christmas holidays ensuring the resources and routes are optimised according to customer needs.
- On a daily basis ensures routing and service issues are dealt with and is ultimately responsible for the customer service experience.
- From time to time they may conduct customer visits.
- Contribute toward on-going cost control, actively seeking to improve efficiency, reduce operating costs, increasing margin and meeting budget targets set.
- Day to day management of Drivers, Runners, and Transport Co-ordinators (TC’s) in order to achieve first class service delivery. Target 100% completion of daily scheduled routes.
- Liaise with Lead Drivers daily (a.m. de-brief) to ensure morning dispatch went as smoothly as possible. Address issues as required.
- Ensure new Drivers undertake a two-week training programme with Lead Drivers.
- Ensure existing drivers are up to date with DCPC training
- Ensure the training programme/matrix is kept up to date, i.e., all Drivers to know a primary and secondary route.
- Ensure vehicle cab inspections are carried out and documented and unsatisfactory outcomes are dealt with.
- Responsible for Driver recruitment (once approved by Head of Operations).
- Vehicle weighing equipment (scales) - ensure they are working for your Team (a.m. checks to be carried out) so that we are able to charge our customers accordingly.
- Provide first point escalation for the Customer Service Department.
- Deal with all health and safety non-conformances, e.g., near misses, potential hazards on customer sites and accidents. Ensure these are dealt with appropriately and in a timely manner (48 hour turn around).
- Ensure our insurance company is kept up to date re. accidents and relevant
- Driver information.
- Driver debriefs at the end of each shift confirming that all issues have been dealt with and that Driver intelligence is recorded and used to improve service delivery.
- Monitor/assist with vehicle KPI’s for the Team to ensure business objectives are met.
- Contribute to discussions around route planning as required.
- Deal with infringements and ensure the process is followed and we remain compliant.
- Deal with all non-compliance activities relating to transport legislation, including but not limited to, overweight vehicles, overspeed incidents, missing mileage, and driver hours. Ensure the process is followed and we remain compliant.
- Ensure all vehicle and Driver downloads are completed on time.
- Ensure vehicle checks are carried out on a daily basis via spot checks/viewing CCTV footage.
- Ensure all vehicle defects have been reported to the Fleet Manager daily.
- Liaise with the Fleet Manager daily re. vehicle availability and to assist with dropping off and picking up vehicles following maintenance work/MOT’s etc.
Ensure the Managers sign off process is completed in a timely manner.
- In conjunction with the HR Manager, ensure that mandatory training, inductions, toolbox talks, and disciplinary action are delivered in line with company policy.
