Job Title: Receptionist
Job Summary
Receptionist for John O’Callaghan Ltd, an expanding accountancy and tax consultancy practice based in Market Square, Dundalk, Co Louth.
Duties & Responsibilities
- Managing incoming calls and emails, providing timely and professional responses to enquiries
· Responsible for all visitors to the office, from initial welcome to ensuring they are met by their host
· Carrying out incoming and outgoing post duties as necessary, including responsibility for all deliveries/parcels received at the main reception desk
· Ordering supplies and maintaining inventory levels eg stationery, catering supplies etc.
· Maintaining a safe & clean reception area, ensuring lay out is tidy and welcoming materials are replenished
· Support senior team members administratively - client correspondence, maintain appointment diary, maintain database, filing and reporting
· Scan all documents coming into the office including scanning of client vat & accounting information in a timely manner
Person Specification
· Experience of working in an office environment essential
· Professional attitude and appearance
· Excellent customer service skills
· Strong communication (verbal & written) and interpersonal skills with a strong customer focus both internally and externally
· Good organisational & administration skills and ability to prioritise workload efficiently
· Working knowledge of Microsoft Office products including MS Word, Excel, and Outlook
· Ability to multitask
· Ability to work as part of a team
