Job Summary
We are seeking a detail-oriented and highly organised Clinical Letter Administrator to join our healthcare team. This role involves managing and processing clinical correspondence efficiently, ensuring accuracy and compliance with organisational standards. The main responsibilities of the post-holder will be to monitor the generic email, update the palliative care register, run recalls, book appointments for care plan reviews.The ideal candidate will possess strong communication skills, proficiency in IT systems, and the ability to handle sensitive information with discretion. Duties
- Be an active member of the Data Administration team, undertaking ongoing training and development in clinical read coding and not summarising.
- Provide an efficient and high-quality service, to ensure accurate data is recorded into the correct patient record.
- Ensure inbound correspondence, by whatever method of receipt, is managed and flowed through to the appropriate recipient/department for action.
- Index and action incoming electronic correspondence, Out of Hours/111 /Electronic Discharges / A&Es / EMAS taking appropriate actionfor safeguarding / fragility / fractures / admissions and new / existingReSPECT forms
- Maintain organised electronic and paper filing systems for easy access and retrieval of documents.
- Provide excellent customer service by responding promptly to internal requests and queries related to clinical documentation.
Experience
- Proven experience in administrative roles within healthcare or related sectors (ideally at least 2 years experience)
- Keen eye for detail and ability to follow set protocols.
- Strong computer skills, including proficiency in Microsoft Office suite.
- Demonstrated analysis skills for interpreting clinical data accurately.
- Excellent organisational skills with the ability to prioritise tasks effectively.
- Effective communication skills in English, both written and verbal.
- Experience in customer service or client-facing roles is desirable.
- Knowledge of IT systems used within healthcare settings is advantageous.
