Role overview: As a Workwear Admin Support, you will play a key role in supporting the Workwear team to deliver a seamless and efficient service to customers. You will provide essential administrative support, helping to manage orders, process customer requests, and ensure accurate and timely communication between customers, suppliers, and internal teams.
You will be responsible for managing the end to end administrative journey of workwear orders - from initial enquiry and quoting, through to sampling, order processing, production tracking, and final delivery. This includes proactively communicating with both customers and internal teams to ensure accuracy, efficiency, and a seamless customer experience at every stage.
- Order & Quote Processing:
o Accurately process and manage customer quotes and orders, including complex, branded or bespoke workwear items.
o Liaise with the estimator and technical workwear specialist to ensure correct specifications, pricing, and garment suitability.
o Coordinate with production teams to ensure orders progress efficiently.
o Take ownership of orders from enquiry through to completion.
o Ensure all customer and order information is correct, clear and promptly entered into the system – updating the customer along the way.
- Communication, Enquiries & Support:
o Respond to all emails, within the agreed SLA timescales, with a focus on going the extra mile in delivering customer service.
o Take accountability for enquiries that come our way, ensuring the customer is appropriately communicated to.
o Act as a key point of contact for customers and BDMs.
o Provide proactive updates on orders, timelines, and any issues.
o Support BDMs with quotes, wardrobe queries, and account management.
o Act as the central link between sales, technical, estimating and production teams.
o Ensure clear communication across departments.
o Support process improvements within the Workwear function.
o Manage the full sampling and swatch process from request to customer dispatch.
o Track samples internally and ensure quality checks on receipt.
o Prepare and send samples professionally to customers.
o Ensure all processes are followed through to completion.
o Track orders throughout production and delivery.
o Provide delivery updates and obtain PODs where required.
o Investigate and resolve customer queries including returns, shortages, and invoice queries.
o Take ownership of issues and coordinate resolution.
- Wardrobe (workwear ordering portal) Management:
o Maintain and update customer wardrobes within the system.
o Ensure accurate records of garments, sizes, and branding.
o Support customers and BDMs with wardrobe related queries.
Knowledge & Skills:
- Previous experience in a customer service role essential.
- Strong verbal and written communication skills.
- High attention to detail and accuracy.
- Highly organised with strong multitasking ability.
- Experience in fast-paced office environments.
- Strong problem solving and ability to investigate queries.
- Proficient in Microsoft Office.
- Knowledge of the workwear industry is desirable.
