Job Description: Payroll & Finance Lead
Reports to: Finance Director
Location: Hybrid
Contract: 52 weeks
Hours: 37.5hrs 9am-5pm
Status: Permanent
Salary: (£45,000.00) FTE (actual salary £45,000.00)
Job Purpose
- To support the Finance Director in the process of finance and payroll functions across the group.
- To provide efficient and effective day to day financial and payroll administrative support to ensure robust financial management and control.
- To contribute to the overall ethos, work and aims of Pinc.
Finance responsibilities
- Work under the direction of the Finance Director to ensure compliance with Pinc’s Financial Procedures.
Administration and management of financial processes including but not restricted to: overseeing the daily reconciliation of bank statements
monthly reconciliation of cash cards
monthly reconciliation of control accounts
monthly credit control
Oversee the timely processing and payment of purchase invoices. Processing and analysing income and expenditure as required,
Preparing and inputting journals as required to ensure the integrity and accuracy of information held on the accounting system
Preparing and submitting for review VAT returns
Managing and maintaining the annual contracts register
Responsible for the safe keeping of all financial records as well as retaining all the necessary documentation and evidence for internal and external auditors.
Support the budgeting process and cashflow management
Working along the Finance and Funding Lead ensuring the accurate processing of sales invoices and receipts, grant income and any other ad hoc receipts within the financial accounting system.
Process request for purchases and travel for the team in line with financial policies
Provide ad hoc support, information, reports and spreadsheets in response to queries about payments, sales, allocation of transactions and other finance related requests
The successful candidate must be comfortable working with financial statements up to trial balance level.
- Maintain full compliance with country specific legislation, statutory requirements, and internal governance standards.
- Support the wider Pinc team with financial requests.
Payroll responsibilities:
- Process monthly payroll in an accurate and timely manner.
- Work closely with any third party support to ensure a prompt and efficient payroll and pension service ensuring compliance with legislation and reporting requirements.
- Ensure the accurate processing of payroll journals through the accounting software
- Ensure amendments including expenses, starters, leavers, contract changes, tax code changes, payment of tax, national insurance, pension contributions, and any other deductions from salaries are accurately processed.
- Produce the monthly general ledger journal from the payroll, ensuring a complete reconciliation to the payroll at the end of each month.
- Work closely with HR to ensure team absences, including SSP, SMP are correctly and accurately processed in line with HR policies and recorded on Pinc’s Management Information System.
- Ensure the timely despatch of returns to outside agencies as necessary e.g. the Inland Revenue, Pensions, ensuring confidentiality at an appropriate level.
- Respond to team payroll queries
- To provide a range of management information as required, for example to inform the budget setting process or to monitor expenses.
- Maintain full compliance with country specific payroll legislation, statutory requirements, and internal governance standards.
Other responsibilities
- Undertake such duties at the discretion of the Financial Director as may reasonably be required due to the changing needs of the organisation

Able to demonstrate an understanding of Trial Balances and double entry accounting.
A good understanding of payroll and pension processes.
Good knowledge of ICT packages and systems (Word, Excel, XERO, SAGE)
Understanding of purchase order procedures, arranging, and processing payments and keeping accurate records
Understanding of financial regulations and procedures

Experience of finance and payroll within the education sector
Experience of XERO accounting and payroll packages
Experience of online payroll systems
Experience of adding value "to an organisation”
Knowledge of IT packages, such as Microsoft 365
