What’s it all about?
We currently have an exciting role for an enthusiastic Community and Member Services Executive to join our Belfast team. Glandore accommodates and caters for a dynamic cross section of businesses, from start-ups and small/medium sized enterprises to international companies setting up in Ireland.
The Community and Member Services Executive will be based in our Belfast office and will assist with all aspects of member engagement and administrator duties and working closely with the Glandore team on internal and external events within the group, while providing 5 star service at all times.
Engagement with our community of members is at the forefront of everything we do at Glandore. This position is a central role within the community team and will be the first point of contact for all members and visitors to the business centre.
This role requires a person who is experienced in taking ownership of all duties and managing them with efficiency, accuracy, and a calm disposition, while always focused on providing a 5-star customer service experience. This is a dynamic and demanding role that requires an individual who can adapt to changing priorities, demands and expectations.
The ideal candidate will be highly organised and detail orientated, to ensure enquiries, bookings and events are completed in a timely, efficient and professional manner. A passion for exceeding in member expectations, and a customer focused personality will be key to success within this role.
What you’ll be doing
Community and Events:
- Act as a brand ambassador for Glandore consistently delivering the highest level of service, information, and professionalism in all dealings with potential and existing members.
- Support the Member Engagement Team to create and manage a programme of internal social, wellness and advisory events for Glandore Members.
- Ensure the complete administration and execution of all planned events, including hosting all internal events.
- Prepare event space to required standards, assisting with room set-up, AV requirements and catering ordering from external vendors.
- Manage, update and monitor our internal members portal – including sourcing and updating member partners and perks.
- Liaise with other teams within the organisation regularly to optimise member experience, ensure smooth running of events and to develop the online members portal.
Front of House:
- First point of contact for visiting clients, guests, employees and contractors
- Provide support to sales department where required.
- Respond to any members queries concerning but not limited to access, venue, facilities, maintenance issues, procedural concerns, etc.
- Liaise with various parties to book and arrange meeting rooms on the online booking system.
- Monitor central email system and answer emails and phone calls in a timely manner
- General clerical duties, filing, scanning, typing, printing, binding
- Organise and arrange online orders.
- Organise incoming and outgoing post, couriers and virtual client post.
- Ensure welcome packs and security cards are ready for clients ahead of move in.
- Maintain client contact information database during onboarding and offboarding and throughout members lifecycle from member to alumni.
Finance/Accounts:
- Ensure all charges are accurately applied to client accounts.
- Assist with invoice preparation on a monthly basis.
- Settle account for external bookings and events.

- Flexible to a changing workload – able to prioritise
- Strong MS office skills
- Good IT skills, including knowledge of a range of software packages
- 3 + years previous experience in a similar role is preferable
- Experience in the hospitality industry, events or corporate environment is an advantage

Pay: £26,000.00-£28,000.00 per year
